Your role as Executive Assistant to the COO: You will be primarily responsible for organizing files, assisting with administrative tasks and assuming any other duties assigned by the COO. All the responsibilities we will trust you with: * Provides administrative assistance to the COO and the vice presidents who report to her, including assistance in maintaining schedules and coordinating events and appointments, booking travel, and completing expense reports * Owns the COO’s calendar: scheduling meetings, holding times, resolving conflicts, and anticipating sequencing needs across departments * Provides assistance across the organization as the company’s lead authorized travel planner and manager of the company’s vehicle fleet * Revises documents, memos, and correspondence for approval by the COO. Promptly and professionally screens all department incoming calls, mail and other legal correspondence. Promptly answers COO’s telephone while she is in meetings or not in the office * Professionally interacts with Padres staff and greets visitors to the COO’s office and provides basic business hospitality * Maintains, updates and organizes all departmental files; creating, updating and maintaining an appropriate and comprehensive filing system * Assumes any other duties and responsibilities as assigned by the COO Your areas of knowledge and expertise that matter most: * Ability to perform duties and make decisions that require independent judgment, initiative and tact * Demonstrated ability to maintain strictest confidentiality in all aspects of job duties * Advanced computer skills including extensive experience with MS Office products such as Word, Excel, Outlook, etc., and general knowledge of basic office equipment including copier, laser printer, telephone, and computer * Possess strong communication skills, both written and verbal, and effectively work well with others in a collaborative, respectful manner * Exceptional time management and organizational skills with capacity to handle high volumes of detailed work, multi-task and manage projects on strict deadlines * Maintain professional demeanor with a high degree of discretion, integrity, and accountability * Maintain consistent, punctual, and reliable attendance You will be required to meet the following: * Must be at least 18 years of age by the start of employment * 4-year Bachelor’s Degree, or education equivalent * Minimum 3 year’s office experience as an executive assistant or related role * Experience managing and organizing voluminous documents, files, and calendars, with ability to keep everything updated, accurate and organized * Exceptional organizational, writing, and grammar skills, with demonstrated ability to write, edit and proofread legal documents for accuracy * Fluently bilingual in English/Spanish a plus * Able to work flexible hours including evenings, weekends, holidays and extended hours as needed * Able to travel as needed * Minimum physical requirements: able to travel to and gain access to various areas of the ballpark for prolonged periods of time during games and events; able to lift and transport up to 25 pounds * As a condition of employment, you must successfully complete all post-offer, pre-employment requirements, including but not limited to a background check Pay and additional compensation: Per the California pay transparency law, the base hourly range for this full-time position is $38.00 to $42.00. As a candidate for this position, your pay and related elements of compensation will be contingent upon your work experience, education, job-related skills and any other factors the San Diego Padres considers relevant to the hiring decision for this position.
