Summary The Administrative Assistant I is responsible for providing administrative support to both internal and external clients. This position will take the lead on projects as well as work as part of a team. This position is expected to operate with supervision from a manager. This position is expected to primarily support the initiatives and goals of the Director of Operations, particularly as related to the development of our employees. As directed, this position will be required to support other departments and managers in order to fulfill the immediate requirements of the firm. Responsibilities include but are not limited to the following. Other duties may be assigned. Communication: ● Responds to and follows up with communication requests ● Drafts of procedures ● Distributes internal and external communications including but not limited to letters, reports, emails, and announcements Data Processing and Administration: ● Updates spreadsheets, logs, and records for tracking, reporting and analyzing data ● Enters data into required systems and documents and audits for accuracy ● Requests documentation, as assigned by managers File Management: ● Updates electronic and physical departmental files, documents, communications, and records Projects: ● Contributes to project-based initiatives ● Adheres to schedules and timelines for projects Purchasing: ● Receives and reconciles deliveries ● Completes purchase orders and documentation Scheduling: ● Coordinates internal and external meetings, events, seminars, etc. ● Tracks individual attendance, vendors, and supplies Team Support: ● Backs up other positions as requested ● May assist in training newly hired administrative assistants Other responsibilities will be assigned as required. A .) in business or a related field and a minimum of one year of experience. Or an equivalent combination of education and experience. Language Ability Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Computer Skills Advanced knowledge of Microsoft Office Suite, Outlook and PDF programs. Ability to learn new systems quickly. Certificates and Licenses No certifications needed.
