Description We are looking for a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior executives at a utilities/infrastructure company in Austell, Georgia. This contract-to-permanent position offers an exciting opportunity to contribute to the seamless operations of the leadership team while showcasing your skills in scheduling, communication, and project coordination. Ideal candidates will excel in managing priorities, handling sensitive information, and ensuring the smooth execution of daily activities.
Responsibilities:
• Coordinate and manage complex executive calendars, including scheduling meetings and appointments to maximize efficiency.
• Arrange domestic and international travel plans, including flights, accommodations, and transportation logistics.
• Prepare documents such as reports, presentations, and correspondence with strong attention to detail and quality.
• Organize and oversee logistics for meetings, including creating agendas, preparing materials, and recording minutes or action points.
• Track and report expenses, ensuring timely submissions and compliance with company policies.
• Perform office management tasks, including maintaining supplies, filing documents, and supporting onboarding activities.
• Assist with special projects, conducting research and providing administrative support to advance departmental goals.
• Serve as a point of contact for internal and external stakeholders, ensuring clear and effective communication.
• Monitor and prioritize incoming communications, addressing or redirecting them as needed.
• Support executives in managing deadlines and ensuring follow-through on critical tasks. Requirements • Proven experience in an executive assistant or similar administrative role.
• Strong proficiency in managing calendars and organizing schedules.
• Demonstrated ability to arrange detailed travel plans, including international itineraries.
• Exceptional written and verbal communication skills for drafting and editing detail-oriented documents.
• Adept at handling expense reporting and familiarity with company compliance standards.
• Skilled in coordinating meetings, preparing materials, and capturing action items.
• Highly organized with the ability to multitask and prioritize in a fast-paced environment.
