Description
The Office Assistant III provides high-level administrative and program support to the Affordable Housing, Homeownership, and Housing Preservation programs. This role supports day-to-day office operations, assists program staff and constituents, and helps ensure timely delivery of services in alignment with Fair Housing Act requirements and agency policies. The ideal candidate will be detail-oriented, professional, and passionate about supporting access to safe, decent, and affordable housing.
Key Responsibilities
+ Provide administrative support for Affordable Housing program operations
+ Manage calendars, schedule meetings, and coordinate appointments for program leadership
+ Arrange and confirm travel logistics, transportation, and accommodations
+ Prepare correspondence, memos, agendas, and meeting materials
+ Organize and maintain electronic and physical filing systems in accordance with records retention policies
+ Support application processing and program documentation for housing initiatives
+ Assist with tracking work orders, invoices, case files, and unit status updates
+ Respond to inquiries from residents, property owners, partner agencies, and internal stakeholders
+ Provide excellent customer service while maintaining confidentiality
+ Assist with preparation of reports, spreadsheets, and program metrics
+ Coordinate meeting rooms, presentations, and community engagement activities
+ Support procurement, purchasing, and contract administration processes as needed
+ Perform data entry into housing and case management systems
+ Support onboarding of temporary or project staff
+ Other related duties as assigned
Commitment to Fair Housing & Equity
+ Demonstrate working knowledge of the Fair Housing Act and affordable housing program guidelines
+ Interact with tenants, homeowners, and program participants in a respectful, non-discriminatory manner
+ Uphold principles of equal access regardless of race, color, religion, sex, disability, familial status, national origin, sexual orientation, gender identity, age, or source of income
+ Maintain impartiality in communication and program administration activities
+ Escalate potential Fair Housing concerns appropriately and support resolution processes
Requirements
+ Previous administrative or office support experience required (government or housing agency preferred)
+ Strong calendar management, scheduling, and travel coordination experience
+ Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
+ Experience with document management systems and data entry
+ Excellent written and verbal communication skills
+ Strong organizational skills with attention to detail and deadlines
+ Ability to handle sensitive information with discretion
+ Ability to interact effectively with diverse populations and community stakeholders
+ Familiarity with affordable housing, government programs, or human services strongly preferred
Preferred Qualifications
+ Experience supporting affordable housing programs, public housing authorities, or community development initiatives
+ Knowledge of Fair Housing, ADA, and related compliance standards
+ Prior experience working in a fast-paced municipal or public-sector environment
+ Experience with case management, housing program databases, or grant-funded programs
