Description We are looking for an Administrative Assistant to join an academic department in Roxbury, Massachusetts, on a contract basis. This role is integral to ensuring smooth daily operations, providing administrative support to faculty and staff, and maintaining organizational efficiency. The ideal candidate will be detail-oriented, proactive, and able to thrive in a dynamic educational environment.
Responsibilities:
• Provide administrative support to academic staff, including managing correspondence and scheduling meetings.
• Maintain accurate records and files, ensuring easy access to important documents when needed.
• Assist with laboratory-related administrative tasks, coordinating with technicians and maintaining inventory.
• Handle inquiries from students, staff, and external parties with professionalism and excellent customer service.
• Support departmental activities by preparing reports, presentations, and other materials.
• Monitor and manage office supplies, placing orders as required to ensure continuous availability.
• Collaborate with faculty and staff to streamline administrative processes.
• Organize and maintain departmental calendars, ensuring timely communication of key dates and events.
• Facilitate communication between departments, ensuring alignment on administrative priorities.
• Perform other duties as assigned to support the efficient operation of the academic department. Requirements • Minimum of 1 year of experience in an administrative or customer service role.
• Strong organizational skills with the ability to manage multiple tasks simultaneously.
• Proficiency in filing systems and record-keeping practices.
• Familiarity with laboratory environments and basic knowledge of biology is preferred.
• Excellent communication skills, both written and verbal, with a focus on attention to detail.
• Ability to work independently and collaboratively in a fast-paced academic setting.
• Competence in using office software and tools to manage schedules and documentation.
