Description
We are looking for a dedicated contract-to-hire Administrative Associate/Project Assistant to join our team in Orinda. This role is responsible for providing all levels of administrative support to the CEO, COO & other senior managers in the firm, and will also provide support with day-to-day office management and with tasks related to the responsibilities of each staff member.
Administrative Associate/Project Assistant Duties:
• Provide day-to-day administrative support to the CEO and other senior leaders including but not limited to planning, organizing, and coordinating meetings, events and travel.
• Facilitate firmwide operations, procedures, and training as needed.
• General office coordination for Orinda office.
• Assist with planning and execution of office meetings and events.
• Oversee internal firm communications with timely distribution of information as required by management or teams.
• Coordinate firm document signatures as requested.
• Take responsibility for firm projects as needed. For example, sales support for Active Investment Management and Wealth Management groups, oversight of firm volunteerism efforts, assistance with summer internship program, Viva Connections launch/management, coordination of Virtual Education Series, etc.
• Support compliance with managing and maintaining the state business compliance for all entities and conducting an annual internal review of email signatures/disclaimers.
What We Look For:
• Undergraduate or associate degree, plus 2+ years of administrative experience in a professional office environment.
• Flexible and willing to support a wide range of projects and assignments.
• Strong time management skills with the ability to prioritize and meet deadlines.
• Professional verbal, written, and organizational skills.
• High attention to detail with consistent follow-through on tasks and projects
• Ability to learn quickly, think creatively, and adapt to changing needs.
• Comfortable working with limited guidance while taking ownership of assignments from start to finish.
• Strong working knowledge of Microsoft Office and familiarity with related software
• Ability to learn and effectively use new technology systems.
• Maintains strict confidentiality with staff and firm information.
• Clear, professional communicator in all interactions
• Open to change and able to adjust to shifting priorities and new challenges.
• Proactive in anticipating needs, improving processes, and addressing issues early.

Requirements • Associate or undergraduate degree, along with at least 2 years of administrative experience in a detail-oriented setting.
• Exceptional organizational and time management skills with the ability to prioritize effectively.
• Proficiency in Microsoft Office and adaptability to learn new software systems.
