Job Summary & General Information
Under general direction of the Recreation Services Manager, supervises, plans, schedules, coordinates, and reviews all details of all City special events. Performs a variety of professional, supervisory work in planning, organizing, inspecting, and directing all activities related to the general and specialized nature of the special events of the Recreation, Parks, & Cultural Services Department; provides supervision, direction, and resources necessary to the event coordinator(s), contracted vendors, and general public; providing a variety of information to other agencies, City staff, and the general public. Provides technical assistance to the Community Services Manager. Conduct reviews and initiate disciplinary action, as needed.
This is an exempt position.
Essential Job Functions and Responsibilities
Essential functions are the basic job duties that an employee must be able to perform, with or without reasonable accommodation. + Plans, schedules, assigns, supervises, reviews, and participates in the production of successful events for the City of Alpharetta’s Recreation, Parks, and Cultural Services Department. Takes the initiative in planning and supervising the execution of all special events at multiple locations, exercising discretion and independent judgment. Oversee the work of the contracted event logistics companies and event coordinators, manages the event timelines, interprets site plan drawings, maps, specifications, and other elements as required.
+ Assists the internal and external marketing teams in the creation and production of effective advertising, marketing, and publicity for festivals and events; provides art direction to graphic designers and/or contracted event management teams; writes copy for brochures, posters, newspaper ads, flyers, and online registration portals. Oversee the adherence to the marketing process and deadlines by event coordinators, and maintain consistent, appropriate branding and communication via digital marketing tools including websites, e-newsletters, and social media.
+ Provides guidance to outside event applicants, event partners, subordinates, vendors, volunteers, local business owners, and residents to accomplish the Department’s mission and goals by adhering to established policies, procedures, and guidelines, and setting a positive example.
+ Works with the Finance Department to oversee the RFP/bid process, including soliciting vendor quotations for procurement of goods and services; coordinating team to evaluate quotations using price comparison methods and price analysis; selecting the vendor.
+ Assists Recreation Services Manager in preparing divisional budget for events and monitoring expenses. Estimates time, cost, labor, equipment, and material needs. Manages spending for all events per the designated budget and tracks incoming vendor and sponsor fees. Works with Recreation Services Manager and City partners to develop long-term and short-term goals, event structure and design, and planning and logistics for City events.
+ Supervises, reviews, and evaluates vendors’ work performance; works with vendors to correct deficiencies. Reviews and approves invoices prior to submitting for payment. Works with the Recreation Services Manager to implement documentation procedures when appropriate.
+ Reviews and evaluates event coordinators’ work performance. Sets work standards and establishes work schedule. Works with event coordinators to correct deficiencies. Maintains time records for event coordinators and approves leave (PTO) and overtime. Implement discipline procedures as directed.
+ Participates in the interview process/selection of division staff and provides or coordinates staff training.
+ Discusses job details with event coordinators to ensure conformity with division goals; monitors work activities to ensure compliance within established policies and procedures.
+ Communicates and coordinates courteously and effectively with the public, other City employees, officials, vendors, corporate sponsors, volunteers, and other outside organizations.
+ Ensures adherence to established safety procedures; monitors work environment and use of safety equipment to ensure safety of employees and general public; initiates any actions necessary to correct deviations or violations; maintains first aid practices and techniques.
+ Coordinates effectively with interdepartmental teams that assist with special events, trains them on assigned tasks, and supervises their work during events as needed.
+ Establishes safety/security plans and road closures with the Alpharetta Police Department and Public Works; communicates through public channels, schedules meetings to plan/review course of action. Organizes official safety and liability documentation from vendors for alcohol permitting, code enforcement, risk management and Alpharetta Fire Marshals to review for approval.
+ As assigned, arranges and attends committee and staff meetings representing the City by participating in committees and study groups as assigned by the Recreation Services Manager and/or Director of Recreation, Parks and Cultural Services.
+ Supervises the application and approval process for non-City produced events including the review and communication of approval for all Film Permitting and Special Event Applications.
+ Supervises the regular maintenance of calendar of events for website and community distribution, and Active Net calendar of events
+ Supervises the regular maintenance of databases of local vendors, businesses, entertainment, food and beverage, sponsors, and volunteer organizations.
+ Supervises the regular maintenance of direct mail/email database for events and non-profits for all event vendors.
+ Performs site visits to measure, map and prepare the event footprint for vendors and attendees.
+ Maintains cooperative working relationships with media for event publicity and with a variety of vendors and performs in the public eye for podcasts, interviews, and other media outlets.
+ Supervises the analysis of social impact with post-event surveys and summaries sent to attendees, vendors, sponsors, internal teams, and officials.
+ Oversees coordination and supervision of staff and recruiting volunteers to support events.
+ Assists in the instruction and training of interns.
+ Requests, receives, processes and tracks invoices and payments to vendors, paying attention to detail of correct codes, attaching receipts, and submitting in timely manner.
+ Performs customer service functions; provides assistance and information related to department programs, events, fees, procedures, forms, or other issues; responds to routine questions, complaints, or requests; initiates problem resolution.
+ Prepares and updates a variety of reports and professional business letters.
+ Communicates with managers, director, employees, other departments, program participants, the public, outside organizations, and other individuals as needed to coordinate work activities, reviews status of work, exchanges information, or resolves problems.
+ Demonstrates an awareness and appreciation of the cultural diversity of the community.
+ Performs related duties as required or assigned.
Knowledge, Skills & Abilities required
Knowledge of:
+ Principles and practices of employee supervision, including work planning, assignment review and evaluation, conflict resolution, discipline, and training of staff in work procedures.

Minimum Qualifications
Combination of education and experience sufficient to successfully perform the essential functions of the job qualifications.
+ Bachelor’s degree from an accredited college or university with major course work in event planning, marketing, hospitality, or a related field.
+ Four to six (4-6) years previous experience performing program/event coordination work in similar types of programs or technical area to which assigned.
+ At least two (2) years of administrative and supervisory experience.
+ Possession and maintenance of Certified Park and Recreation Professional (CPRP) certification preferred.
+ Must be willing to work varying hours, including evenings, weekends and/or holidays assigned.
+ Possession of a valid Georgia Class C driver’s license.
Physical Demands & Work Environment
Physical: Primary functions require sufficient physical ability and mobility to work in an office setting and operate office equipment. Continuous sitting and upward and downward flexion of neck; fine finger dexterity; light to moderate finger pressure to manipulate keyboard, equipment controls, and office equipment; pinch grasp to manipulate writing utensils. Frequent side-to-side turning of neck, walking, standing, bending, stooping, pushing/pulling, and twisting at waist; moderate wrist torque to twist equipment knobs and dials; lifting objects weighing up to 20 lbs. from below waist to above shoulders and transporting distances up to 50 yards. Occasional squatting, kneeling, and reaching above and at shoulder height; moderate grasping to manipulate reference books and manuals; lifting objects weighing 20-35 lbs. from below waist to above shoulders and transporting distances up to 50 feet.
Vision: See in the normal visual range with or without correction; vision sufficient to read computer screens and printed documents and to operate equipment.
Hearing: Hear in the normal audio range with or without correction.

Retirement Health

Retirement
Defined Contributions 401(a): City contributes 10% of employee's annual base pay. Vested benefit accrued at 20% a year, with full vesting after 5 years of service. Deferred Compensation (457) and Matching Contributions: employees may elect to participate at any time. After 1 year of continuous employment, City matches employee's contributions, up to 5%.
