Description

Established mid-sized law firm is seeking a Law Office Administrator in Oakland, California. This role requires excellent organizational abilities to oversee administrative functions, coordinate with vendors, and ensure the smooth running of the office. The ideal candidate will be proactive, attentive to detail, and capable of supporting the partners so they can focus on client-related tasks.

Responsibilities:

• Manage office operations, including supervising staff and coordinating vendor relationships.

• Handle insurance renewals and ensure compliance with necessary policies.

• Organize marketing events and initiatives to support the firm's partners.

• Oversee website updates and ensure an accurate and well-maintained online presence.

• Coordinate facility maintenance and address operational needs.

• Maintain accurate and organized documentation for legal and administrative purposes.

• Support the firm's partners by taking charge of administrative tasks, allowing them to focus on billing and client matters.

• Implement procedures to improve office efficiency and communication.

• Ensure the office adheres to legal and regulatory requirements.

Requirements • Strong communication skills to effectively liaise with staff, vendors, and clients.

• Proven experience in managing administrative tasks within a law office or similar setting.

• Ability to handle documentation with a high degree of accuracy and attention to detail.

• Familiarity with insurance policies and facility management.

• Proficiency in organizing marketing events and managing website content.

• Knowledge of legal office operations and regulatory compliance.

• Exceptional organizational and multitasking abilities.

• Capacity to work independently and take initiative in a fast-paced environment.
