    DESCRIPTION

    The Department of Procurement and Travel (P&T) at SUNY Oneonta invites applicants for the position of Office Assistant 2 (Calculations) (NY HELPS). The P&T department is responsible for all campus purchasing, accounts payable, travel and other business functions.

    Key Responsibilities

    The Office Assistant 2 (Calculations) (NY HELPS) position will provide office support and clerical work to meet the requirements of the department. Such work may consist of but is not limited to financial (including record-keeping, bookkeeping, and reconciliation activities), purchasing, or statistical functions, including:

     

    + Answering questions and providing information to various parties regarding agency activities, transactions, and procedures. Refer inquiries as necessary, such as assisting with inquiries from vendors and other customers.

    + Operating various communication systems such as telephones and computers; and keeping records of such communications.

    + Maintaining, updating, and correcting records and files, including maintaining logbooks and entering Purchase Orders and requisitions into SUNY FMS.

    + Performing various clerical or office assistance tasks such as scanning documents and verifying accuracy of data from scanned documents.

    + Receiving and processing mail.

    + Reviewing forms and applications and making appropriate determinations.

    + Receiving, screening, reviewing, and verifying forms, and other documents for completeness, content, and accuracy.

    + Entering information into, offering basic interpretations of information within, or retrieving information from various computer databases, including the Statewide Financial System and/or Microsoft Access or similar computer database software packages, including entering Enters vendor W-9 information into the State Financial System.

    + Designing clerical processing procedures.

    + Assisting in gathering or compiling data for reports, graphs, charts, tables, or other products.

    + Creating graphs, charts, or other visual aids to display data.

    + Preparing routine reports or assisting others in the preparation of reports, following established guidelines.

    + Receiving and processing mail.

    + Performing mathematical operations and clerical tasks related to mathematical operations in support of agency or program functions.

    + Creating spreadsheets, using calculators, and other means of performing calculations.

    + Reviewing unit or departmental financial forms such as vouchers for conformance with approved spending.

    + Maintaining accounts for a major account clerical function (such as accounts receivable or payable).

    + Compiling and preparing financial data for budgetary purposes.

    + Reconciling accounts with bank statements and controlling ledgers and resolving discrepancies.

    + Reconciling money received with value of receipts or tickets issued.

    + Performing account clerical audits for programs in which there are a large number and variety of transactions, verifications, checks, and computations, and where the written procedures are changed frequently.

    Job Requirements:

    Competitive Qualifications:

    The successful candidate must be reachable on the full-time, permanent Civil Service list for Office Assistant 2 (Calculations), have held the permanent title of Office Assistant 2 (Calculations) in the past or be eligible to transfer into the title.

    Non-Competitive Qualifications:

    This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). To be considered for appointment through NY HELPS, candidates must meet the non- competitive minimum qualifications for this position:

    Minimum Qualifications:

    + One year of clerical experience

    Preferred Qualifications:

    + Face-to-face customer service experience

    Additional Information:

    This is a full-time, permanent position.

     

    For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

     

    At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
