Compensation:
The salary for this role is $80,000 - $90,000. This is the range that we in good faith anticipate relying on when setting wages for this position. We may ultimately pay more or less than the posted range and this range is only applicable for jobs to be performed in New York City. This salary range may also be modified in the future.
About the Role:
The Temporary Administrative Assistant performs a variety of support duties for senior leaders, professionals, and teams across the organization. This role involves handling confidential information and requires considerable initiative, judgment, and discretion. The Assistant completes assignments in a timely manner, with great attention to detail and strong prioritization skills. They communicate messages accurately, value the urgency of certain duties, maintain confidentiality and professionalism, anticipate needs, and follow up to ensure tasks are completed satisfactorily.
Responsibilities
What you will do:
+ Perform a range of operational support activities, including compiling reports and furnishing information to internal and external parties.
+ Provide administrative support functions such as:
+ Arranging meetings (reserving conference rooms, organizing catering, guest security clearance, restaurant reservations, preparing presentation materials).
+ Managing calendars and updating Outlook Contacts.
+ Scheduling conference calls across time zones and setting up Webex/video conferencing.
+ Coordinate travel and prepare itineraries.
+ Retrieve and organize reports and data for submission on a daily, weekly, or monthly basis with high attention to detail.
+ Process confirmations, obtain appropriate approvals, and organize related information to assist teams.
+ Organize and file documents related to corporate activities, both physically and electronically.
+ Utilize Microsoft Outlook, Excel, and strong internet research skills.
+ Occasionally cover other areas based on office needs and assist executives with personal items.

Qualifications

+ Have three or more years of experience in an administrative services role, preferably in Finance, Investments, or a related field, and hold a bachelor’s degree.
