Position Summary:
The Licensing Specialist is responsible for managing the day-to-day operations of the Licensing Department, ensuring compliance with state and federal licensing requirements for mortgage loan originators (MLOs) and the organization. This role oversees the timely submission and maintenance of licensing applications, renewals, and regulatory filings through the Nationwide Mortgage Licensing System (NMLS).
The Licensing Specialist maintains accurate licensing records, monitors regulatory updates, and supports compliance with all applicable licensing requirements. Additionally, this position assists the Legal and Compliance Departments with research, reporting, and special projects as needed. Strong attention to detail, confidentiality, and regulatory awareness are essential in this role.
Qualifications:
+ Associate degree in Business Administration, Compliance, or a related field, or equivalent work experience.
+ Additional compliance or regulatory certifications (e.g., Certified Mortgage Compliance Professional (CMCP)) are a plus.
+ Minimum 2 years’ experience in a role requiring handling sensitive information with professionalism and confidentiality.
+ Experience working with state and federal mortgage licensing requirements and regulatory filings.
+ Familiarity with the Nationwide Mortgage Licensing System (NMLS) preferred.
+ Mortgage industry experience preferred, particularly in compliance, licensing, or regulatory affairs.
+ Proficiency in Microsoft 365 (Excel, Word, Outlook, Teams, SharePoint).
+ Ability to interpret and apply mortgage licensing regulations across multiple states.
+ Strong data entry and record-keeping skills to ensure licensing accuracy and compliance.

+ Ability to communicate effectively with loan originators, regulatory agencies, and internal stakeholders.
+ Problem-solving mindset, with the ability to navigate licensing challenges and resolve discrepancies.
+ Assist senior management in monitoring and maintaining licenses at originator, branch, and corporate levels.
+ Interface with employees to address licensing issues and provide solutions.
+ Keep the company informed about changes in licensing requirements.
+ Respond promptly to corporate or branch inquiries regarding approval requirements.
+ Track and manage each license application until approval.
+ Inform relevant parties of application and license status.
+ Maintain a calendar to meet deadlines for CE, license renewals, and reports.
+ Efficiently obtain licenses in new states or authorizations for expansion.
+ Handle various licensing matters including lending, brokering, loan officer, processor, underwriter, and servicing.
+ Assist with Federal and quasi-federal approvals (HUD/FHA, Fannie Mae, Freddie Mac, Ginnie Mae, USDA, VA).
+ Manage changes of control, addresses, and branch licensing.
+ Handle license renewals, annual reporting, and continuing/pre-licensure education.
+ Manage bond requirements, registration of qualified individuals, and document management.
+ Ensure compliance with record retention requirements.
+ Handle corporate and organizational matters such as qualification renewals, annual reports, trade name registration, and business licenses for corporate and branches.
