Job Summary
The Onboarding Specialist (Temporary Assignment) provides critical support to the YGS Human Resources team during a major system implementation project. This position works closely with the Onboarding Administrator to facilitate onboarding activities from candidate acceptance through the start date, ensuring a smooth process and positive experience for both candidates and hiring managers. The Onboarding Specialist maintains operational excellence in the onboarding function while the permanent team focuses on implementing a new Human Capital Management (HCM) system. This temporary role also provides general HR administrative support as needed to ensure continued service delivery across the HR department.
The ideal candidate is someone who thrives in a structured yet dynamic environment, enjoys working with people, takes pride in creating positive experiences, and can balance multiple priorities while maintaining quality and professionalism. Training will be provided on YGS-specific processes and systems.
Position Type/Expected Hours of Work
This is a temporary (approximately six months) full-time position (40 hours per week.) with expected hours of Monday through Friday from 8:30 AM to 5:00 PM .
Hiring range: $25.00/hourly
Responsibilities
+ Process high volumes of new hires with attention to detail to ensure smooth and positive new hire experience
+ Monitor candidate progress through post-offer tasks via the Applicant Tracking System (iCIMS); responding to inquiries and proactively following up to resolve delays or issues regarding background checks, drug tests, email creation, etc., ensuring all requirements are completed before the employee start date.
+ Support hiring managers with status updates, process guidance, and coordination to ensure smooth starts for their new team members
+ Facilitate completion of I-9 documentation, ensuring consistency and compliance with federal regulations
+ Assist with internal document auditing and data integrity enforcement between systems throughout the hiring process.
+ Troubleshoot issues and escalate complex situations to Onboarding Administrator as appropriate
+ Identify and communicate process improvement opportunities
+ Assist with HR projects, initiatives, and special assignments as directed by HR leadership
+ Support HR department operations as needed during implementation project period, including those relating to recruiting and selection.
+ Gather and organize employee work experience data to support salary setting in new HCM.

Qualifications
+ High school diploma or equivalent
+ 2-3 years of administrative experience with demonstrated customer service skills
+ Strong organizational and time management abilities
+ Excellent attention to detail and commitment to accuracy
+ Ability to maintain strict confidentiality
+ Ability to commit to approximately 6-month temporary assignment (through late June 2026)
Preferred Qualifications
+ Associate's degree or HR certification (SHRM-CP, PHR, or similar)
+ HR experience, particularly in recruitment, onboarding, HRIS, or employee services
+ Experience with Applicant Tracking Systems (iCIMS preferred)
+ Experience in high-volume, fast-paced environments
+ Knowledge of employment compliance requirements (I-9, background checks, etc.)
+ Experience working with diverse populations (language, culture, race, physical ability, sexual orientation, etc.)
+ Bilingual abilities may be helpful
