Job Title: Administrative Assistant 3
Duration: 5 months (High possibility fir an extension after the budget approval)
Work Schedule: Monday–Friday, 40 hours/week (standard core hours)
Pay Rate Range: $20 to $26/hr
Key Responsibilities
+ Perform complex administrative functions for senior leadership and external partners
+ Manage executive calendars, meetings, travel arrangements, and business expenses
+ Coordinate meetings, events, and department operations
+ Support department financial, personnel, and facilities operations
+ Manage procurement of goods and services, including office and computer equipment
+ Maintain vendor relationships and general office support
+ Serve as a primary contact for the department or group
+ Complete special projects as assigned
Candidate Requirements
Required Background
+ 5+ years supporting senior leaders (Director/VP/LT level preferred)
+ Experience in large, matrixed organizations
+ Ability to operate with discretion, sound judgment, and composure under pressure
+ Comfortable working across time zones and changing priorities
Disqualifiers
+ Candidates with frequent job hopping or low tenure will not be considered
Education & Certifications
+ No specific degree or certification required
Top 3 Must-Have Hard Skills
1. Calendar, Meeting, and Inbox Management (3–5 years)
+ Expert-level Outlook and calendaring
+ Managing complex scheduling across multiple leaders and time zones
+ Preparing meeting materials and tracking follow-ups
2. Business Operations & Execution Support (3+ years)
+ Managing operational trackers and recurring processes
+ Supporting ROB rhythms, reviews, deadlines, and deliverables
+ Strong attention to detail and execution follow-through
3. Microsoft 365 & Collaboration Tools (3+ years)
+ Outlook, Teams, OneNote, SharePoint, PowerPoint
+ Creating agendas, documentation, and status updates
+ Working within established tools and process standards
Tools & Ways of Working
+ Advanced Outlook and Microsoft Teams
+ Familiarity with OneNote, SharePoint, and PowerPoint
+ Understanding of leadership rhythms, reviews, and decision forums
