**Pay Range:** $25.20 - $39.69 per hour

Summary:
The Gifts and Records Maintenance Assistant Director is a team leader within Development Operations who works to establish and maintain proper gifts and biographic records in support of fundraising initiatives within the Office of Philanthropy. The Assistant director assists the Director in the assignment of tasks for Gifts and Records Maintenance (GRM) staff and takes the lead in training the philanthropy staff in gift and records policies and procedures. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Required Job Qualifications:
•Three years office experience focused on transaction processing, account creation, interpreting, and analyzing processing requests with keen attention to detail.
•The ability to quickly review, prioritize and assign/delegate work to the appropriate team member.
•Strong working knowledge of a CRM database or, at minimum, experience working with databases and entering data.
•Strong written, verbal and administrative communication skills and a high degree of professionalism with excellent customer service and effective interpersonal style.
•The temperament to train and re-train team members on GRM process.
•Ability to manage multiple projects in parallel while performing daily duties.
•Intermediate-level experience with Microsoft Office applications.
Responsibilities:
• Directs the automated and manual process by which new funds and accounts are defined and created within the Philanthropy CRM based on donor intent.
• Collaborates with the Department of Finance and major gift officers and their assistants.
• Assists in the definition and revision of GRM policies and procedures to ensure compliance with established norms for the recording of transactions, confidentiality of a data and information, both electronic and physical.
• Ensures that biographic data is routinely audited so that errors are trapped and corrected, making necessary changes to policies and procedures.
• Collaborates with frontline fundraising staff, the stewardship and alumni departments and the philanthropic liaisons of the various boards and committees at Rush to address common record-keeping challenges.
• Serves as the secondary contact for external banking vendors and other organizations and oversee merchant accounts, lockbox, cash wire transfers, securities and mutual funds transfers, Donor Advised or Directed accounts and corporate matching gifts.
• Assists with daily gift and record entry tasks, including but not limited to: entering gifts into Advance; running the daily receipting process; archiving electronic gift back-up and making biographic and contact changes and updates.
• Supports GRM staff to make daily decisions regarding proper recording and disbursement of gifts, based on, Rush, government and professional associations.
• Contributes to the production of new financial and transaction reports as a subject matter expert
• In the absence of the Director, provides direct oversight and supervision to GRM staff to ensure data quality, accuracy, and timeliness.
