Description
The Administrative
Assistant III will support the physicians in the Doheny Eye Center, UCLA Health
and will be responsible for understanding the academic mission and assist with academic
administrative duties (e.g. provide professional and administrative support
services to faculty member(s), fellows and residents.) The position will maintain the Academic
Calendar and monitor deadlines for courses, manuscripts, grants, and other
applications. Duties also include maintaining physicians, fellows and residents'
academic calendars and monitoring for conflicts with the clinic. They will also provide administrative support
in planning meetings and workshops. Additional
duties include but are not limited to maintaining curriculum vitae's and assist
the Department of Ophthalmology Academic Personnel Office with academic
promotion files for Doheny Eye Center faculty, coordinating travel arrangements
for faculty and fellows, and preparing and submit travel reimbursements.
Salary Range:
$30.36 - $43.49 Hourly
Qualifications
Required:
+ Minimum 3 years of administrative experience
+ Demonstrated skill in effectively providing clinical and administrative services in an academic out-patient setting.
+ Ability to work independently, set goals and objectives, and prioritizes work activities.
+ Expertise in speaking clearly and distinctly, using appropriate vocabulary and grammar, to resolve conflicts, obtain and convey information to individuals, both in person and over the phone.
+ Demonstrated writing skills to compose logical, comprehensive and grammatically correct documents.
+ Expertise in communicating with patients and their families with diplomacy and sensitivity in confidential situations.
Preferred:
+ Knowledge of principles of ambulatory care administration.
+ Detailed knowledge of the structure of the UCLA system. Knowledge of the UCLA Medical Center organizational structure.
+ Skill in use of local area networks, personal computers, printers, and software for word processing, spreadsheet, and EMR.
+ Bachelor's Degree or Combined experience/education as substitute for minimum education
