Description
We are seeking a service-driven and highly organized Corporate Services & Administrative Coordinator to join our team. In this role, you will serve as the first point of contact for employees, visitors, and vendors, ensuring smooth office operations and an outstanding workplace experience.
Key Responsibilities:
+ Answer, screen, and direct incoming calls and provide information to callers.
+ Take and relay messages accurately for the company and various departments.
+ Greet and assist guests and visitors, directing them to the appropriate location or paging staff as needed.
+ Arrange transportation services for employees and guests when required.
+ Collect access badges from departing employees and manage badge issuance for new hires and contractors.
+ Order and track company supplies such as badge reels and access cards.
+ Schedule conference room appointments and support meeting room setups, including catering arrangements.
+ Coordinate courier pickups and deliveries.
+ Prepare letters, documents, emails, or other correspondence as requested.
+ Submit and track work orders for maintenance and facility issues.
+ Address requests from the Corporate Services team efficiently and professionally.
+ Support the Senior Manager – Corporate Services with assigned duties or projects.
+ Manage company vehicle bookings, track vehicle maintenance (oil changes, cleaning needs, etc.), and ensure proper records.
+ Maintain security protocols by monitoring logbooks and issuing visitor badges.
+ Support traveling executives with logistical needs.
+ Manage invoice processing and new vendor setup.
+ Keep department databases accurate and up to date.
+ Train backup employees as necessary.
+ Notify security of visitor parking in the company garage.
+ Collaborate with the safety department to communicate emergency alerts and participate in fire warden training/certification
Requirements
Qualifications:
+ Proven experience in administrative or office coordination roles preferred.
+ Excellent communication and customer service skills.
+ Strong organizational skills and attention to detail.
+ Ability to multitask and manage competing priorities.
+ Professional demeanor and team-oriented attitude.
+ Proficiency with Microsoft Office Suite; experience with access control systems and facility management software is a plus.
