    NBCUniversal’s Operations & Technology (O&T) group is the shared services organization that provides the company with a broad portfolio of services and capabilities including media and studio operations, international operations, real estate, infrastructure, security and technology. The O&T group provides global support to NBCUniversal with a 2000+ strong workforce and is a critical to the growth and success of the company.

     

    Our Technical Operations team operates as a central program operations group embedded across Ad Sales, Distribution, Marketing, Research, Technology, Legal, Cybersecurity and HR as trusted partners working together to implement strategic programs throughout the enterprise in order to effectively close gaps between central business and technology groups across a variety of projects.  We work to provide relevant insights & structure across our diverse portfolio to power intelligent business decisions required in order to compete within today’s highly complex multi-platform & fragmented media landscape.

     

    We are seeking an Administrative Assistant who will be responsible for supporting two Senior Vice Presidents (SVP, Data & Legal Solutions and SVP, Workplace Operations) with day-to-day administrative functions and operational duties and will also handle special projects as assigned. The ideal candidate for this position has exemplary planning and time management skills and can manage multiple priorities at time.

    Responsibilities:

    + Provide administrative support: calendar management, book travel and process expenses, execute various department projects

    + Manage and track calendars proactively, looking ahead to anticipate needs and keep the executive’s schedule running smoothly

    + Help to plan and execute events such as: client dinners, departmental lunches, and group onsite and offsite with end to end support pre and during events.

    + Organize internal and external meetings

    + Schedule appointments and maintain calendar

    + Manage & oversee relevant invoicing, vendor agreements, etc

    + Develop and maintain positive relationships with stakeholder teams, administrative teams, IT and facilities teams

    + Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf

    + Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate team members

    + 3-5+ years prior relevant experience, supporting Senior Executives

    + Exceptional communications skills (verbal and written) and strong interpersonal skills

    + Proficient with MS Office - Outlook/Word/Excel/PowerPoint

    + Ability to successfully multitask and meet deadlines

    + Excellent at problem-solving, taking initiative, and being very resourceful

    + Demonstrable communication skills

    + Excellent writing and organizational skills with attention to detail

    + Ability to exercise a high level of discretion in handling confidential and sensitive information

    + Excellent interpersonal skills and grace under pressure

    + Keen understanding of how to consistently “move the ball forward” in varied circumstances

    + Willingness to travel and work off hours, and on weekends, with short notice

    + Must be willing to work in the New York City office on a hybrid schedule

    + Must have unrestricted work authorization to work in the United States

    + Must be 18 years or older

    Additional Requirements:

    + Hybrid: This position has been designated as hybrid, which currently requires contributing from the office a minimum of four days per week.

    Salary range: $70,000 - $85,000
