    Position Description – Legal Assistant (Real Estate)

     

    The Legal Assistant will provide timely, accurate, and proactive administrative support to attorneys and paralegals within the Real Estate team of the Law & Corporate Affairs (LCA) department. This role is essential in maintaining smooth operations, supporting legal workflows, and ensuring high‑quality service delivery across the team.

     

    Requires 3+ years of administrative or legal administrative experience.

    Team Culture & Work Environment

    + Member of the broader Law & Corporate Affairs (LCA) organization.

    + Directly supports the Real Estate legal team.

    + Works closely with 7 attorneys and 7 paralegals.

    + Team oversees all North America real estate matters, including Canada—covering stores, distribution facilities, and roasteries.

    + Hybrid team composition with some based at the Seattle Support Center (SSC) and others across the U.S.

    + Highly collaborative environment with regular interaction across internal teams and outside counsel.

    Key ResponsibilitiesAdministrative & Legal Support

    + Provide general administrative support to the Real Estate team (excluding VP support).

    + Manage complex calendars, scheduling, and meeting coordination.

    + Handle travel arrangements, booking, approvals, and expense processing.

    + Manage conference room reservations and meeting logistics.

    + Assist with document preparation, formatting, and comparison (Word, PowerPoint, etc.).

    + Support matter management processes, including partnering with outside counsel and handling billing tasks.

    + Assign matters to outside counsel and maintain accurate data entry.

    + Manage legal data, filing, and records in accordance with department standards.

    + Support monthly and quarterly reporting requirements.

    Inbox & Communication Management

    + Monitor and manage the LPA team inbox, triaging questions and routing inquiries appropriately.

    + Partner with internal stakeholders and external legal teams to coordinate matters and maintain consistent communication.

    Daily Responsibilities

    + Calendar management for assigned attorneys and paralegals.

    + Administrative organization and prioritization support.

    + LPA inbox management and response.

    + General administrative tasks, document handling, and tracking.

    + Coordination with internal and external partners.

    + Support ongoing reporting cycles.

    Interaction Level

    + Highly interactive, working closely with attorneys, paralegals, other LPAs, and administrative staff.

    + Regular collaboration with outside counsel and cross‑functional teams.

    Required Skills & Experience

    + 1–3 years of relevant legal administrative experience (law firm, in‑house, government, or related environment).

    + Ability to work independently and demonstrate strong self-sufficiency.

    + Proficiency with Microsoft Office Suite.

    + Experience managing complex calendars and administrative workflows.

    + Familiarity with legal terminology, processes, and documentation.

    + Strong attention to detail, accuracy, and organization.

    + Excellent written and verbal communication skills.

    + Ability to collaborate effectively within a team environment.

    + Prior experience as a Legal Practice Assistant (LPA) strongly preferred.

    Experience Level

    Expert-level administrative support, with the ability to anticipate needs, manage multiple priorities, and maintain a high level of professionalism and confidentiality.

     

    Job Type & Location

     

    This is a Contract position based out of Seattle, WA.

    Pay and Benefits

    The pay range for this position is $30.00 - $34.00/hr.
