    The ideal candidate has solid marketing experience creating and leading events and brand experiences that align with enterprise strategies. Certified Meeting Planner (CMP) Certification is highly preferred.

    Position Purpose

    The Senior Specialist, Event Management, serves an essential role in coordinating and executing TVA’s internal and external meetings and events. They make our major business meetings/ events a resounding success, by fulfilling defined business objectives and metrics.

     

    In coordination with the Field Marketing Team Leader, the Communications Team, and various stakeholders, they provide strategic direction, coordination and execution for large and complex corporate internal and external meetings/events. This is a critical role — a successful corporate event helps TVA build strong relationships with our stakeholders, inclusive of employees, customers, shareholders, investors, community, and the media.

     

    Holds overall responsibility for all the activities related to assigned in-person or virtual events/major meetings…organizing conferences, marketing events, seminars, board meetings, CEO Forums, investor meetings, exhibitions, meetings, awards galas, and tradeshow exhibits.

     

    Identifies and secures resources, establishes and manage event budgets, communicate with clients/stakeholders to keep them informed, and vet vendors to secure the best prices and products. Manages vendors and a diverse mix of staff to ensure all aspects of events are executed flawlessly and exceeds expectations.

     

    Works with clients sponsoring the function to understand their needs and financial budget. Suggests dates, timelines and plans the scope of the event, based on a strategic understanding of the TVA mission, branding/marketing objectives and specific needs of the business unit.

    Principal Accountabilities

    + Exhibits and promotes integrity, respect, and authenticity in all interactions internal or external to TVA Communications and in performance of assigned duties.

    + Demonstrates strong collaboration, open-mindedness, and partnership with teammates within and outside the TVA Communications organization.

    + Enhances and protects the TVA reputation and brand; builds understanding and support for the agency’s long-term strategy and enterprise priorities.

    + Collaborate with Manager, Field Marketing, to develop, implement and execute enterprise-wide event & major meeting strategy.

    + Develops event specific strategies, creates operating standards, and leads cross-functional teams to plan, resource, implement and execute board, major meetings/events and customer facing activities.

    + Develops, plans, and implements programs for the TVA Board and Executive Management to strengthen relationships and improve understandings of TVA’s business objectives with key constituencies and customers.

    + Understands TVA’s brand, business operations, business strategy, current and future issues affecting near and long-term plans, and the culture and value systems impacting TVA’s effectiveness.

    + Works directly with TVA Board Members/TVA Executive Officers, their direct reports, senior management assistants, and organization group leaders to create programs, establish goals, and coordinate associated events. Interfaces with these individuals using tact and diplomacy.

    + Manages multiple teams that plan, coordinate and execute various programs/events sponsored or designated as Board/Executive initiative. Recognizes confrontational situations and applies negotiation/persuasion to facilitate win-win situation.

    + Creates complex project-type plans within relatively short time frame.

    + Ensures TVA’s participation/representation are conducted in a way that advances TVA’s overall brand; include use of appropriate protocol, identifying all appropriate stakeholders, customer and constituency groups as well as political/business leaders whose attendance/participation would be appropriate to for each particular event.

    + Proposes new ideas to improve the event planning and implementation process.

    + Drives brand consistency and cost effectiveness through the use of thoughtful enterprise-wide processes.

    + Facilitates, initiate, support, advise and/or manage effective organizational change consistent with organization needs by coordinating major meetings, workshops, and events to reflect the new strategy and brand objectives.

    + Monitors and insures ongoing maintenance and optimization of the strategy

    + Maintains an understanding of corporate and business unit goals and issues, brand and marketing priorities and industry trends.

    + Collaborates and coordinates with Marketing & Creative Communications colleagues to promote best practices, idea sharing and success for all meeting/event initiatives.

    + Acts as the point of contact for smaller events/meetings as needed - develop templates and processes for smaller “self-serve” events to assure brand alignment and cost optimization.

    + Event related budget and key metric responsibilities.

    + Coordinates and monitors event timelines and ensure deadlines are met.

    + Assists with preparing budgets and provide periodic progress reports to director/stakeholders for each event project

    + Keeps track of event finances including check requests, invoicing, and reporting.

    + Coordinates appointments and scheduling of events on the corporate calendar.

    + Identifies logistical needs required to execute the event…securing necessary people, venue and technology resources for event.

    + Coordinates event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.

    + Assists with negotiations for space contracts and book event space, arrange food and beverage, order supplies, equipment and signage, and ensure appropriate décor to meet quality and Brand expectations.

    + Markets/promotes key events utilizing social media and web-based tools.

    + Keeps inventory of “tradeshow” related assets (backdrops, popup displays, projectors, computers, and other display materials).

    + Serves as liaison with vendors on event-related matters.

    + Works with media and public affairs team to coordinate press events and messaging is timed and released to effectively promote events.

    + Closes out all events as required.

    + Drives flawless execution of our major meetings and events.

    + Serves as a member of the Emergency Response Organization, and the Public Information organization in particular, in accordance with Emergency Plan procedures. Supports on-call rotation for after-hours needs. Additional assignments as needed.

    Minimum Requirements

    Education.— Bachelor’s degree in marketing, journalism, communications, public relations, hospitality management, English or related fields. An advanced degree is strongly preferred.

     

    Experience. — At least 10 years of experience in the marketing, communications, event or hospitality management. Must also be familiar with the companies that supply event services or facilities, such as conference centers, hotels, catering firms, audiovisual specialists, speakers bureaus, exhibit companies and set builders.

     

    Certification/License, etc— CMP Certification highly preferred.

     

    Knowledge/Skills/Abilities—

     

    Proven knowledge of contemporary event marketing/management processes, practices and tools; ability to interact persuasively with all levels of the organization and external to the company; skills in current communications technology; creativity and resourcefulness. Candidate may be required to obtain and maintain a security clearance based on position / access requirements and essential job functions. Fantastic customer service ethic, high standards for quality and passion for brand fidelity.

     

    Proficient using the Web to conduct research, event administration and procurement as well as with the latest versions of Microsoft Outlook, Word, Excel, PowerPoint. Excellent organization skills and experience with project management techniques and tools. Ability to manage multiple simultaneous projects and work assignments from a variety of staff and volunteers. Excellent interpersonal skills both in person and by phone, with high professionalism. You must be able to give clear instructions and motivate the event team to deliver results.
