What you'll do
The BMG Coordinator, Department Operations coordinates day-to-day activities of the Department. Coordinator is a direct resource for managers, staff, other partner departments and network subsidiary leaders, as well as vendor relations, for information and problem solving. The coordinator makes decisions and takes action to solve issues that may arise in the absence of system experts/specialists, managers, and Network Director. Coordinator is responsible for ensuring that all phone calls, requests for information, etc. are handled in an expeditious courteous and accurate manner. Coordinator is responsible for coordinating training resources and rooms and for coordinating training schedules. Coordinator is also responsible for managing/facilitating specific Patient Access Systems across the network including setting/resetting passwords, notification of system down times and issues, and serves as a liaison with vendor leaders, including coordination of training, serving as a super-user, identifying and communicating changes in workflow as needed, supporting downtime procedures, and facilitating network communication as needed and appropriate. Coordinator may be responsible for maintaining systems to monitor expenses for office supplies, minor equipment and travel. Coordinator is responsible for arranging for all new employee interviews and orientations. Coordinator is responsible for supporting and monitoring staff time off requests and system updates as assigned as well as managing time and attendance for assigned staff. Coordinator ensures all inquiries for requests of time off follow Bassett policy. The coordinator is the department liaison for both internal and external customers.
+ Acts as a resource for Network Director, Manager, Supervisor, System Specialists and staff, and other departments. Provides information about Bassett Policies and Procedures. Assists department in getting resources they need
+ Requests for assistance and information is provided with the first request made as observed by the Network Director and as reported in 360-degree feedback solicited from leaders, staff and customers on an annual basis. Information is provided in a collegial manner
+ Coordinates with Human Resources interview and orientation process for new staff. Reserve Conference Room, Coordinate onsite interviews
+ Manages grievances /complaints for billing at the direction of her manager
+ Works with other departments/areas to identify departmental needs as needed as appropriate. Equipment Sharing or Supply Sharing
+ Requests and monitors appropriate computer access for all new and existing staff. Submit Access on behalf of Manager or Supervisor
+ Works interdepartmentally to ensure that department operations function efficiently. Work collaboratively to identify problem areas and implement changes as necessary. Supports team by taking lead on outstanding efficiency issues in collaboration with leader, primarily set up meetings and start investigation
+ Assist with UKG payroll functions as requested by manager
+ Oversees the calendar functions of the department to ensure accessibility, calls are handled efficiently, basic coordination tasks are completed as needed and the quality of work is consistently satisfactory or above, assuring meetings are scheduled and stakeholders are notified
+ Onboarding new providers including but not limited to account requests, scheduling and orientation
+ Ensure that phones are answered promptly, meetings are scheduled with only rare mistakes, and information is distributed as needed as requested as observed by supervisor with solicited feedback from others on an annual basis
+ Develops and maintains online manual outlining procedures and protocols associated with scheduling functions to ensure scheduling accuracy 95% of the time as noted by providers, Administrative Director and customers we serve including but not limited to daily edits in EPIC at direction of manager/supervision • Manage information systems for the department
+ May maintain department website to ensure accurate and informative to all users as measured by ongoing/feedback from employees, managers and other departments
+ Works in conjunction with department leaders and Human Resources to maintain all aspects of staff certification processes to ensure compliance requirements of job descriptions. Assist team members with uploading certificates to Employee space or forwarding these on to HR
+ Maintains assigned staff PTO time requests and assures time away calendar is accurate. Already completing
+ Serves as liaison for all Patient Access systems maintaining requests for passwords as well as contact person between system vendor personnel and staff reports of system issues. Maintains ongoing updates and communications for system downtimes and progress toward back up. Ensures BCA are functioning
+ Attends all necessary meetings to keep up with changes within the department/organization
+ Attends monthly staff meetings 90-95% of the time as recorded in meeting minutes
+ Attends quarterly departmental meetings 90-95% of the time as recorded in meeting minutes
+ Performs similar or related duties as requested or directed
+ Performs other duties as requested and observed by supervisor or manager. Could still maintain HIM or Disability but probably should transition to appropriate departments with this position monitoring that process
+ Manage statement and invoice tracking

+ Maintain Templates for Lab or Nurse
+ Order supplies
What we need from you
Education:
+ 2 Year/Associates Degree or 2 years of higher education in business or related field, preferred
+ High School or GED, preferred
Experience:
+ Minimum 1 year experience in a healthcare environment with progressive levels of responsibility, required
+ Minimum 3 years of experience in an office environment performing customer service, health related or information services work, preferred
+ Associates degree or 2 years higher education can be substituted for 2 years of the experience

Physical Requirements:
+ Sedentary Work - Exerting up to 10 lbs of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking or standing are required only occasionally, and all other sedentary criteria are met

Pay Range
Salary is based on a variety of factors, including, but not limited to, qualifications, experience, education, licenses, specialty, training, and fair market evaluation based on industry standards. The above compensation range represents a good faith belief of the compensation range by Bassett Healthcare Network, and its entities and affiliates, at the time of this posting or advertisement.
Pay Range Minimum:
USD $20.29/Hr.
Pay Range Maximum:
USD $30.44/Hr.
