JOB SUMMARY
The Financial Aid Supervisor provides leadership and direction within the Scholarship and Financial Aid program at the tribal college of the Muckleshoot Indian Tribe. Reporting to the Financial Aid Manager, the supervisor coordinates workflow, supports staff and ensures program operations align with tribal goals. This role also monitors and improves financial aid and scholarship processes, while maintaining a high level of service to students and community members. The supervisor acts as a mentor and coach to specialists and trainees, guiding their work and facilitating training and development. They review procedures and help implement enhancements to policies and operations. The role requires confidentiality, sound judgement, and a strong commitment to student success and community service.
MAJOR TASKS AND RESPONSIBILITIES
+ Supervises day-to-day operations of financial aid support activities and ensures quality service.
+ Coordinates assignment of work tasks among scholarship specialists and trainee personnel and monitors progress.
+ Reviews financial aid application processing, payment authorizations, and documentation for accuracy and compliance.
+ Assists in updating scholarship and private school assistance policies and instructor tuition payment procedures as needed.
+ Meets with parents, students, tutors or vendors to troubleshoot issues and provide support for assistance programs.
+ Prepares periodic reports summarizing program status, payment activity, and procedural enhancements for management review.
+ Supports the Financial Aid Manager by taking lead on special projects, process improvements, and system enhancements.
+ Maintains user security rights, modifies system settings as assigned, and works with imaging or finance systems software.
+ Ensures that student files and records are maintained in multiple systems, both digital and physical, with appropriate tracking.
+ Provides training, supervision, and evaluation of support staff and tribal trainees engaged in scholarship program activities.
+ Responds to inquiries from students, parents, institutions or community members in an even-tempered, customer-oriented manner.
+ Participates in outreach events, orientations or workshops to assist tribal members with scholarship and financial aid information.
+ Because of the Tribe's commitment to community service and the well-being of its members, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to their regular responsibilities.
EDUCATION - EXPERIENCE AND TRAINING FOR POSITION
Required:
+ Bachelor’s degree in accounting, finance, business administration, public administration or closely related field required. An additional 6 years of relevant experience may be considered in lieu of degree.
+ Two (2) years of progressively responsible financial aid operations experience is required.
+ Three (3) years of experience working with Laserfiche.
OR
+ Associate’s degree in accounting, finance, business administration, public administration or closely related field required. An additional 3 years of relevant experience may be considered in lieu of degree.
+ Five (5) years of progressively responsible financial aid operations experience is required.
+ Three (3) years of experience working with Laserfiche.
SPECIFIC SKILLS/KNOWLEDGE/ABILITIES REQUIRED FOR POSITION
Skills:
+ Strong verbal and written communication skills with diverse audiences.
+ Advanced proficiency in Microsoft Office Suite including Excel and reporting tools.
+ Skilled at analyzing financial data, trends and system information.
+ Demonstrated ability to organize multiple tasks and set priorities effectively.
+ Excellent customer service orientation engaging students and community members.
+ Competent in maintaining digital imaging systems and financial software applications.
Ability:
+ Maintain professional composure while interacting with students or parents.
+ Interpret policy documents and translate them into operational procedures.
+ Lead training sessions and evaluate performance of support staff.
+ Solve complex problems by researching, analyzing and recommending solutions.
+ Establish effective working relationships with diverse tribal community members.
+ Operate computer systems and imaging tools while ensuring confidentiality.
Knowledge:
+ Comprehensive understanding of financial aid and scholarship program operations.
+ Knowledge of accounting structure, policies, procedures and internal controls.
+ Working knowledge of Microsoft Office Suite, imaging software and finance systems.
+ Familiarity with tutoring, private school assistance and degree incentive programs.
+ General awareness of tribal culture, history and community service values.
+ Understanding of supervisory principles and techniques for motivating staff.
PHYSICAL REQUIREMENTS
This position requires sustained periods of sitting, using vision and manual dexterity for computer work and routine paperwork. The employee frequently talks and listens to students, parents and staff in person or by phone. The role occasionally requires walking, reaching with hands and arms, or bending at the waist to retrieve files or handle archival materials. At times the employee may need to lift or move light items such as binders or boxes of files up to 25 pounds. The work is largely office-based in a climate-controlled environment but may involve brief events or meetings held in different campus locations. The employee must be able to handle frequent switching between computer screens, scanning equipment and verbal communication without undue fatigue.
