Position Description:
Performs specialized clerical and secretarial duties in direct support of a Department Chair within the Health Science Center. Employees in this position are responsible for performing varied and complex office duties which require a thorough knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Employees in this classification may be responsible for supervising a small clerical unit. Work is performed under general office conditions requiring a high degree of telephone and personal contact with HSC faculty, staff, patients, and outside professionals. Work is also performed under pressure of deadlines, which may include frequent requests for urgent reports.

Major/Essential Functions:
+ Provide support to faculty, staff and unit manager to include department chair and administrator. Will schedule meetings, maintain Outlook calendar, transcribe meeting minutes.
+ Monitor and maintain all licenses and credentialing requirements.
+ Provides back up support to unit manager assigned faculty i.e. schedules meetings, keeps calendar, and monitors license expiration.
+ Completion of faculty and staff forms such as Insurance, FMLA, Disability, Jury Duty, Return to Work and other medically necessary forms.
+ Communicates with faculty and staff regarding assignments and follows through on task assignment to ensure completion.
+ Provides TMS treatment and obtains pre-authorization for each patients.
+ Coordinates TMS schedules with faculty and staff. Maintains weekly evaluations spreadsheet.
+ Maintains TMS referrals and patients list.
+ Provides general information in response to inquiries in person and on telephone; assists patients in obtaining TMS information and appointments.
+ Serves as Unit Safety Officer within the department. Coordinates the accident/incident reporting and investigation; coordinates the safety training of employees and student within the department; coordinates safety related activities within the departments.
+ Answers telephone, takes and relays messages, screens calls and handles as required for department chair. Reviews and distributes credentialing applications to assigned faculty.
+ Maintain confidential files and records pertaining to assigned area of work daily.
+ Provide support to faculty, staff, and supervisor to include Department Chair and Administrator.
+ Performs specialized clerical duties in support of the Department.
+ All other duties assigned by the Department Chair and Administrator.
+ Remains current with all licensure, certifications and mandatory compliances and trainings required of this position.
+ Adhere to all TTUHSCEP policies, procedures and processes.
+ Personally demonstrate, display, and act in accordance with TTUHSCEP values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork).
+ Perform all other duties as assigned.

Required Qualifications:
+ High school diploma or GED.
+ At least twelve (12) months experience as a Senior Medical Secretary at TTUHSC; OR
+ Five (5) years experience in a progressively responsible secretarial position with three (3) years in a medical or scientific setting.
