Job Summary and Qualifications
Supervise and manage the operation of Kidney Transplant clinic and the HLA Lab. Serves the organization by working with customers to include: inpatients, outpatients, physicians, allied health professionals and the community by assisting with the strategic planning of Transplant and HLA. Participates in interdepartmental meetings and process teams to improve patient care and outcomes. Responsible for maintaining required program elements, service-line manuals and current policies and procedures as well as assisting the Director with the performance improvement process for the departments. Responsible for the day to day business support, clerical (as needed), medical record and patient accounting functions, as well as reception and patient scheduling, as needed. Lead worker has responsibility for other office personnel including task coordination and orientation. Manages the departments, coordinates with seminars and educational programs, as needed. Collaborates with other Las Palmas Medical Center departments to integrate all services.
+ You will assist with the development and implementation of the Transplant Clinic’s business plan and budget.
+ You will function as the liaison with department directors/mangers/supervisors and responds to their general questions assisting where possible. Oversee the clerical operation and the day-to-day administration of the office to ensure smooth operation, maintain established policies and procedures, objectives, and safety standards.
+ You will coordinates and prepares all reports for compliance portion of the Transplant Service, pre-cert, and re-cert process, and medical director timesheets. Assist Assessment Coordinator with UNOS, CMS, and JCAHO auditing requirements.
+ You will create and prepare for presentations for internal and external customers.
+ You will coordinate in-house and outside community educations functions.
+ You will be responsible for the daily entry of payroll, daily reporting of statistic and reconciliation of the plus report to actual staffing patterns.
+ You will coordinate the human resource function of the Transplant Service to include processing of paperwork and tracking of new employees, maintenance of hospital specific employee records, competency timelines, and coordinates completion of timely evaluation with managers and supervisors.
+ You will maintain and update charge-master, reviews daily billing and reconciliatory reports.
+ You will be responsible for the transplant services, Medical Records and Coding Operations.
+ You will verify Kidney Acquisition Cost Center charges and claims for appropriateness on a monthly basis.
+ You will ensure contracts are in place with providers prior to appointment being scheduled and bill getting paid.
+ You will enter into basic contract discussion with providers. Refer difficult negotiations to VP of Managed Care Services.
+ You will enter contracts into and maintains all contract compliance logs for contract management purposes.
+ You will maintain files on all original contracts and ensures timely completion of all contracts.
+ You will review all contracts for essential elements and accuracy of information specific to type of contract.
+ You will create/revise any necessary forms needed for contract compliance.
+ You will work closely with originators of contracts and attorneys involved in contract compliance.
+ You will maintain access database program to track contracts.
+ You will review/initiate all contract renewals within appropriate timeframe prior to renewal.
+ You will insure all appropriate signatures/approvals are obtained prior to Clinical Director approval.
+ You will prepare quality reports regarding contract compliance, renewal dates, timeliness and/or any other issues needed.
+ You will ensure all appropriate departments receive their copy.
+ You will communicate with Director regarding any problems in compliance with all mandatory and voluntary standards relating to contract compliance.
+ You will collect and prepare data for reports relative to needs of the department and requests of the Clinical Director on a timely basis.
+ You will provide contract compliance education to all employees and specific topics for department specific issues when requested by the Clinical Director.
+ You will assist Clinical Director in coordinating an ongoing program to educate employees and the medical staff on contract compliance issues, and any legal implications.
+ You will conduct quarterly/annual contract audits (contract log vs. contract file).
+ You will review all Physician Referral Source Check Request submitted for reimbursement.
+ You will oversee HLA (Histocompatibility and Immunogenetics Lab) Department Operations
+ You will evaluate performance on HLA personnel; Daily review to ensure payroll is accurate. Ensure all personnel files are maintained and updated annually
+ You will function as Liaison with the technical PHD contract directors and assist regarding service agreement
+ You will maintain equipment maintenance agreement
What qualifications you will need:
+ One year secretarial experience and strong interpersonal skills required; must be handle multiple tasks and Knowledge of medical terminology and computer skills preferred.
+ Experience with Microsoft Access database preferred.
+ High school diploma or equivalent required; minimum of 2 years of college, strong interpersonal and organizational skills preferred.
