Hours: 7:30am to 6:00pm Monday - Thursday; 7:30a - 3:00p Friday
TheMedical Office Assistant (MOA) of the Outpatient Rehabilitation Departmentis responsible for outpatient throughput. A Medical Office Assistant supports our daily administrative operations by helping patients, providers, and staff stay organized and informed. The Medical Office Assistant will handle front-desk responsibilities, manage patient records, and ensure smooth communication throughout the office.

Responsibilities
Essential Duties and Responsibilities (includes, but not limited to):
+ Support daily operations for Physical, Occupational, and Speech Therapy services.
+ Perform patient intake, including demographics, registration, insurance eligibility/authorization, scheduling, financial counseling, and medical record management.
+ Maintain equipment logs, cleaning schedules, and assist in sustaining a safe environment of care.
+ Schedule, confirm, and manage appointments while coordinating provider calendars for efficient patient flow.
+ Handle phones, messages, patient greetings, appointment inquiries, referrals, medication requests, check‑in/out, insurance verification, paperwork collection, copays, and general office questions.
+ Maintain accurate medical records through chart prep, scanning, updating information, and ensuring privacy compliance.
+ Communicate effectively with patients across all age groups using age‑appropriate techniques.
+ Maintain proficiency in medical terminology and physical medicine CPT codes.
Qualifications
Education and Training
Before we go any further, we do have some deal-breakers. You must have:
+ High School Diploma or GED required upon hire
+ Basic Life Support (BLS) required upon hire and maintain current
+ Knowledge of medical terminology
+ Customer Service experience
Additional Qualifications That Are a Plus:
+ Previous hospital experience in a physical medicine office
