Position Summary
Provides a wide range of general administrative support to the Office of Human Resources, particularly in the area of employment/recruitment. The successful candidate will have thorough knowledge of hiring practices and exercises independent judgment in the absence of established procedures, and discretion in the dissemination and handling of highly confidential information.

Major Responsibilities
Employment Responsibilities:
+ Upon leadership approval of preliminary position worksheet, notifies requestor of position approval and next steps in the process.
+ Upon posting of position, coordinates posting and advertisement of vacancy on campus, internet sites, and professional journals as directed by the Associate Vice President of Human Resources. Works with immediate supervisor to ensure job description is up to date for posting and compliance.
+ Serves as day-to-day contact on basic electronic recruitment system questions.
+ Works witih School Deans, Chairs and Program Directors, and School Administrative Assistants related to adjunct hiring needs and postings each semester.
+ Insures a great candidate experience and presents a professional and positive image to job seekers.
+ Responds to ongoing specific and general inquiries regarding employment opportunities by applicants in person, in writing, online, and on the telephone.
+ Assists in the screening of resumes in the applicant tracking system to determine minimum qualifications prior to sending to search committee.
+ Performs reference and background checks on all newly hired staff, following all associated procedures.
+ Assures appropriate online process has been completed and officially filed at the completion of the search.
+ Acts as a training resource and troubleshooter for search committee members or executive approvers who are newly promoted or don’t know how to navigate the system.
+ Serves as a Community Liaison for candidate interviews as needed.
+ Assist with communication to unsuccessful candidates at end of search process
+ Participation in career fairs.
Other Responsibilities:
+ Collaborate with Community, Belonging, and Engagement to support onboarding initiatives that connect new hires to campus culture.
+ Provide logistical and administrative support for campus events related to employee engagement and belonging (e.g., recognition programs, cultural celebrations, etc.).
+ Support employee engagement programs as needed.
+ Maintains pre-hire electronic job description files for exempt and non-exempt staff.
+ Develops and maintains detailed procedures related to the position.
+ Contributes to the success of the Office of Human Resources by providing information about human resources policy and procedure, acting as a backup for other positions as needed, working cooperatively with other departments and performing other duties as assigned.
+ Works with supervisor to develop specific goals that support Utica University’s operational plans. This is done at least annually through the annual performance evaluation process, however review of goals will occur throughout the year.
+ Responsible for working with supervisor and other team members to achieve successful results on all established individual and departmental goals and key performance indicators.

Education & Experience Qualifications
+ Bachelor’s degree in human resources or a related field preferred.
+ Technical knowledge and experience in the human resources function preferred, especially in recruitment.
+ Working knowledge of Banner system and applicant tracking systems preferred.
Minimum Skills/Abilities
+ Ability to communicate effectively both verbally and in writing.
+ Ability to organize information and prioritize tasks and deal appropriately with confidential and sensitive information.
+ Excellent customer service skills required.
+ A strong commitment to diversity and work continually to enhance diversity of our students, faculty, and staff.
+ Ability to work well in a “team-centered”, fast-paced, heavy workload environment.
+ Competency in Microsoft products, including Word and Excel required.
+ Strong basic math skills necessary.
+ Strong analytical and research skills a must
+ Must be able to work flexible hours if necessary.
