    This position performs a variety of administrative and supervisory work in planning, organizing, coordinating, implementing, and evaluating activities at the Adult Activity Center. Supervises employees, volunteers and contractors. Responsible for recreational activities, budget, equipment, and maintenance of the facility and grounds. Exercises considerable initiative and judgment under the general supervision of the Parks and Recreation Director and Assistant Director.

     

    Job Duties and Responsibilities

     

    The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification.

     

    Supervises daily activities at the Adult Activity Center. Plans, organizes, schedules, administers, and supervises recreation programs to include classes, seminars, support groups, and special events. Assists in the development and enhancement of programs to ensure the highest level of customer satisfaction.

     

    Supervises, trains, mentors, evaluates, and disciplines full-time and part-time AAC employees. Oversees the selection, positive motivation, and supervision of volunteer employees. Conducts employment interviews and makes hiring recommendations.

     

    Oversees contract agreements of AAC program contractors, serves as a contract administrator and oversees contractors’ programs and activities.

     

    Actively identifies resident senior citizens with service needs and refers them to appropriate program providers.

     

    Coordinates with staff, other City Departments, non-City agencies, private organizations, and contractors to identify, study, and develop solutions responsive to problems affecting senior citizens, including the need for companionship, transportation, health, safety, social, living, and repair.

     

    Develops agency relationship programs and service partnerships for senior citizens. Maintains an updated inventory of available programs and services offered through these agencies for seniors in Coral Gables.

     

    Works with the Public Affairs Manager in coordinating news and media exposure for the AAC, public outreach, advertising, and creation of promotional material. Manages social media content and outlets in accordance with the Public Affairs Manager.

     

    Responds to public inquiries and customer concerns regarding recreation programs in a timely, professional, and customer-friendly manner. Explains and enforces program rules and regulations. Troubleshoots and resolves problems. Fosters open communication with customers and recreational organizations. Ensures the highest level of responsiveness to customer concerns and solicits ongoing customer feedback.

     

    Organizes and attends the Senior Citizen Advisory Board meetings. Prepares agendas and assists board members with administrative and activity planning. Serves as liaison to other city-wide boards, clubs, groups, and committees associated with senior programs. Attends and conducts meetings as necessary with staff and public.

     

    Assists in the development and enforcement of policies and procedures. Prepares procedural manuals for employees, volunteers, members, and users of the facility.

     

    Performs various administrative duties including preparation of reports and maintaining records. Responsible for ensuring collection of all fees, depositing money collected and reconciling receipts and invoices.

     

    Prepares annual budget requests, makes purchasing recommendations, ensures senior programs are performed within budget, and performs expenditure and revenue analysis of all activities. Prepares requisitions, invoices, purchase orders, payment reconciliations, and other financial work as needed. Prepares and manages grant applications, conducts research, and processes special funding projects.

     

    Provides leadership and direction for short and long range plans; coordinates Department and Division activities with other departments and agencies as needed.

     

    Promotes senior programs to other recreation facilities, agencies, community service groups, other City departments, local businesses, and the general public.

     

    Oversees and ensures the safety of all activities at the AAC. Responds to medical emergencies as required.

     

    Supervises and oversees the maintenance of the AAC. Ensures that the maintenance of the AAC is of the highest standard in terms of cleanliness. Maintains inventory and oversees the inspection and preventative maintenance of facility and equipment to ensure safe operations and aesthetics.

     

    Performs miscellaneous duties such as answering phone, typing, running errands, picking up supplies needed for activities, making arrangements for rentals, and use of recreation facilities, facility setup and breakdown, etc.

     

    Conforms with all City regulations, policies, procedures, and safety rules.

     

    Performs other related duties as assigned.

    Qualifications

    Graduation from a four year college or university with a Bachelor's Degree in Recreation, Leisure Service, Education, Physical Education, Sociology, Psychology or related field is required.

     

    Four (4) years experience in social work, community planning, recreation or related field.

     

    CPRP (Certified Parks and Recreation Professional) is preferred.

     

    Membership in (FRPA) Florida and/or (NRPA) National Parks and Recreation Association(s) preferred.

     

    Must have, or obtain CPR/First Aid/Defibrillator AED certification.

     

    A comparable amount of training or experience may be substituted for the minimum education requirement.

     

    Valid Florida Driver's License.

     

    HOLIDAYS: 16 days including 3 floating days.

     

    SICK LEAVE: 110 hours annually.

     

    ANNUAL LEAVE: 94 hours in the first year of employment, increasing up to 210 after 25 years. Employees must take 40 hours of annual leave each year.

     

    BEREAVEMENT LEAVE: 5 or 10 days for the death of a family member in accordance with the City's Personnel Rules & Regulations.

     

    HEALTH INSURANCE: Fully paid by the City (HMO Select). Coverage becomes effective 1st of month following 30 days. Employee may purchase coverage for eligible dependents at a cost of approximately 50% of the premium.

     

    DENTAL INSURANCE: Available at a cost to all employees through payroll deduction.

     

    LIFE INSURANCE: Term Life and Accidental Death and Dismemberment equal to 1 x annual salary (up to $200,000) fully paid by the City.

     

    VOLUNTARY BENEFITS: Several plans are available, such as Short Term Disability, Life Insurance and Critical Illness policies through payroll deductions.

     

    LEGAL SERVICES: Legal Service plan available at a cost to all employees through payroll deductions.

     

    POST EMPLOYMENT HEALTH PLAN (PEHP): The City deposits $950 annually into an individual account for each employee. Monies may be used to pay premiums or medical expenses after retirement.

     

    DEFERRED COMPENSATION: Employees may defer a portion of their pre-tax salary in the 457 Deferred Compensation Program.

     

    TUITION REIMBURSEMENT: $2,000 per semester ($6,000 maximum annually) as per the City's Rules and Regulations.

     

    CELL PHONE: Cell phone provided at a monthly cost of $20.00, if required by department.

    RECREATIONAL USE: Employee, spouse and immediate family members seventeen (17) years of age and under are entitled to the benefits below:

    - Venetian Pool – No charge for daily admission.

     

    - Tennis Centers – No charge for daily court fees

     

    - Youth Center – 50% off residential rates for memberships and 25% off camps and other programs.

    Golf at Biltmore & Granada:

    - Monday through Friday – no charge

    - Saturday, Sunday and Holidays:

    - Before Noon – Twilight fees apply

     

    - After Noon – No charge

    PENSION:

    City Retirement Plan - Mandatory employee contribution of 10 % of salary; Vesting period is 10 years.

    Defined Contribution - 401a - Contribution by City of 7% of employee base annual salary. Vesting period 5 years. Employee not required to contribute.
