We’re looking for an independent, resourceful, and proactive Administrative Program Specialist A to serve as a vital support and problem-solver for the Division Director and the entire division staff, providing administrative support and executing multiple complex and tedious tasks while fostering a welcoming, positive, and collaborative team culture.

Preferred qualifications
+ Proven ability to support or manage multiple complex projects or programs, ensuring deliverables, timelines, and documentation are effectively tracked and communicated
+ Strong Written and Verbal Communication Skills
+ Capable of working independently, anticipating needs, and adapting to shifting priorities in a fast-paced, mission-driven environment
+ Familiarity with state or federal procurement processes
+ Comfortable using productivity tools such as Google Suite (Docs, Sheets, Slides, Drive), Microsoft Office (Word, Excel, Outlook), and workflow systems like LaGov, Metastorm, or ProAct.
Minimum Qualifications
Three years of experience in administrative services; OR
Six years of full-time work experience in any field; OR
A bachelor's degree.
EXPERIENCE SUBSTITUTION:
Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.

Job Duties and Other Information
Job Duties:
As an Administrative Program Specialist A, you’ll report directly to the Education Consultant Supervisor, who supports the Division Director and serves as a Liaison to the entire division. In this position, you will provide essential administrative and programmatic division-wide support to ensure the smooth implementation of academic initiatives within the Division of Academic Content. In this role, you will:
+ Manage the Division Director’s calendar and travel, relieving the Director of administrative duties
+ Conduct initial reviews of contracts, contract amendments, and payment invoices, and ensure that all required documents are submitted and completed as required
+ Prepare, submit, and track procurement requisitions for the purchase of services and deliverables per LDOE and Office of State Procurement processes
+ Support the division with routine office tasks like payroll, inventory, mail distribution, meeting logistics, and general administrative support
Position-Specific Details:
Appointment Type: Job Appointment. This position will be filled as a temporary job appointment that may last up to 4 years. The person hired for this position is expected to regularly report to the Baton Rouge office.
Work Schedule: Work hours are Monday - Friday. Work hours will be determined.
Compensation: The salary offered will be determined based on qualifications and experience.
