Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
+ Calendar management for meeting schedule.
+ Knowledge of TSUS Rules and Regulations as well as university and Academic Affairs policies and procedures.
+ Skill in proofreading and preparing grammatically correct documents with attention to detail.
+ Advanced level knowledge of Microsoft Office.
+ Experience as an administrative assistant in a university setting with strong understanding of proper protocol, especially with dignitaries and high-level administrators.
Preferred Qualifications
+ Experience coordinating events.
+ Experience managing others, including student workers
+ Experience using enterprise software (i.e. SAP , Oracle, etc.) for budget, accounting, and purchasing transactions
+ Experience using analytics software (i.e. LOGI , etc.); and Student Information Systems (i.e. Banner, etc.)
Job Description
Reporting to the Vice Provost of Academic Innovation, the Senior Administrative Assistant is responsible for providing administrative support to the Vice Provost and assisting other staff members in administrative activities.
Job Duties
+ Assist VPAI with all administrative activities by managing calendar and initiating activities to prepare for appointments and meetings.
+ Assist VPAI with various departmental projects and events, including commencement.
+ Hire, supervise, train and plan work for student assistants, including monitoring performance and prioritizing work.
+ Prepare, review and route documents such as correspondence, forms, agreements, and reports for signature and distribution.
+ Prepare and process forms such as purchase orders, travel and PCRs.
+ Review and verify invoices.
+ Develop and maintain a filing system for administrative items such as purchase orders, personnel changes, travel forms, meeting minutes, and other reports.
+ Answer phone, screen or transfer calls, take messages, answer questions, refer to other offices as appropriate.
+ Timekeeper for the office of Academic Innovation.
+ Perform other duties as assigned.
