    *General Description:*Serves asThe Receptionist of the Texas Veterans Commission. This position serves as the primary front-desk representative for the agency while providing essential administrative support to the Human Resources Department. This position greets and assists visitors, fields incoming calls, and manages daily mail delivery and distribution. In addition to receptionist duties, the role coordinates agency purchasing and procurement needs, maintains records retention processes, and assists with meeting space logistics. The position also manages shared information email accounts, prepares executive correspondence including salary actions and employee acknowledgements, and supports employee recognition programs such as longevity awards. This role requires strong customer service skills, attention to detail, and a high degree of professionalism.*Telework is not an option for this role.*

    *Essential Duties and Responsibilities:*

    • Serve as the agency’s primary receptionist by greeting and assisting visitors, answering multi-line phone calls, and directing inquiries professionally and efficiently.

    • Manage incoming and outgoing mail, package deliveries, and internal distribution.

    • Monitor and respond to agency shared email accounts, including general information and HR inboxes, ensuring timely and accurate information flow.

    • Assist with records retention activities, including organizing, filing, archiving, and retrieving documents in accordance with agency policies and retention schedules.

    • Coordinate procurement and purchasing needs for the reception area and Human Resources Department, including supply orders, vendor communication, and invoice processing.

    • Schedule, reserve, and prepare meeting and training spaces, including coordination of equipment, materials, and room setup requests.

    • Process employee longevity awards and other employee recognition programs in collaboration with Human Resources.

    • Responsible for processing and maintaining the agency's DPS Parking Permit and Badge Access in coordination with the DPS Office.

    • Draft and prepare executive-level correspondence such as salary action letters and employee acknowledgements.

    * Provides administrative support for the Director and staff of the Human Resource and Training and Event Management Department.

    * Coordinates travel arrangements for Human Resource Director, prepares travel authorizations/vouchers, travel itineraries, and reconciles travel vouchers.

    * Works effectively with a variety of individuals, groups, and stakeholders.

    * Responsible for maintaining confidentiality of sensitive information.

    * Performs related work or special projects as assigned.

    *Minimum Education:*

    • High School Diploma/GED and four (4) years related experience,*OR*

    • Associate degree and two (2) years related experience/./**

    *Related Experience:*

     

    Experience in administrative support work.

     

    *Additional Requirements*: A valid Texas Driver’s License must be provided within 90 days of hire.

    *Preferred Experience and Qualification:*

    • Experience in a State of Texas agency

    • Experience with the State's Centralized Accounting and Payroll/Personnel System (CAPPS)

    • Experience with coordinating and processing travel

    • Highly proficient in Microsoft Word and Excel

    *Knowledge, Skills, and Abilities:*

    • Knowledge of standard office equipment and Microsoft Office Suite software applications

    • Knowledge of principles of customer service and professional communication

    • Knowledge of records retention policies and document management practices.

    • Intermediate Microsoft Excel skills, including formulas, data validation, pivot tables, and tracking spreadsheets, with little to no need for additional training.

    • Skill in coordinating activities and schedules

    • Skill in managing competing priorities and handling interruptions professionally

    • Skill in drafting clear, accurate written communications, including letters and emails

    • Ability to handle high-level administrative matters and to maintain appropriate confidentiality

    • Ability to acquire knowledge of agency programs and employ critical thinking to analyze and solve work problems

    • Ability to communicate effectively and to communicate complex ideas succinctly and clearly, both orally and in writing

    • Ability to provide exceptional customer service

    • Ability to handle high-level administrative issues

    • Ability to work effectively with diverse individuals, groups, and stakeholders

    • Ability to work independently with minimal supervision

    • Ability to use appropriate grammar, spelling, punctuation, mechanics, and editing skills in correspondence and communications

    *Environmental & Physical Conditions: *

    Normal office work environment, mostly sedentary in nature. May involve walking; standing; remaining stationary for long periods of time; pulling and pushing; kneeling, stooping, and bending; and safely lifting and carrying items weighing up to 30 pounds. Work involves extensive telephone usage and repetitive hand/wrist/finger motions while using the computer.
