    Executive Assistant

    The Executive Assistant position will provide efficient and professional administrative support to the Executive Vice President of Operations at the location in Houston, TX. This position requires strong administrative office skills and experience, including a high level of organization, excellent communication, interpersonal, computer and problem-solving skills, flexibility, and the ability to cooperate with others in a complex and varied environment. The ability to be self-directed is required as is the ability to maintain confidentiality in day-to-day office operations.

    Responsibilities and Duties

    + Provide general administrative and clerical support including mailing, scanning, faxing, copying, etc .

    + Manage communication, including answering phone, responding to email, and providing exceptional customer service assistance to students, staff, the community, and local business organizations.

    + Maintain office supply inventory, submit, and track office supply orders,

    + Plan and respond to various educational related inquiries, both external and

    + Provide coverage of the reception area as needed .

    + Record minutes at staff meetings .

    + Maintain Program(s) Calendar using Microsoft Outlook .

    + Create targeted lists for mailings and marketing

    + Assist in the day - to - day coordination of aviation identification cards, conference rooms, creating sign-in sheets, answering inquiries and phone calls .

    + Develop and maintain good working relationships with all relevant partners, agencies, and internal and external stakeholders .

    + Be available for evening coverage when necessary .

    + Must possess valid passport.

    + Must be available to travel both domestically and internationally at a moment's notice.

    Reporting Relationship

     

    This position reports to the EVP of FBO Operations .

     

    Work Environment

     

    This position operates in a professional environment, which may include exposure to all types of weather conditions and direct contact with both moving and non-moving aircraft.

     

    Physical Demands

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job, to include but not limited to:

    + Must be able to lift 25 pounds .

    + Ability to stand for long periods of

    + Stand to greet customers during verbal exchanges, walk throughout the facility to interact with customers.

     

    Position Type and Expected Hours of Work

     

    This is a non-exempt position.

     

    This position requires working evenings, occasional weekends, and on scheduled company holidays.

     

    Travel

     

    Travel is expected to visit other locations.

    Education, Experience, and Eligibility Qualifications

    + Bachelor's or master's degree preferred .

    + Demonstrated ability to determine and maintain confidentiality of information .

    + Excellent telephone etiquette, application of tact, diplomacy, sensitivity, and confidentiality .

    + Prior experience as an administrative assistant, ideally in an executive level administrative support role .

    + Experience with Office Suite (PPT, XLS, WORD, Outlook)

    + Social media experience

    + Ability to work evenings, occasional weekends, and

    + Acceptable driving record

    + Ability to pass a background
