    Job Description

    The Facilities Central Clerk is responsible to the Facilities Central Supervisor for the coordination and smooth functioning of the day to day routine activities of the Facilities Central section of the Administration Division. Consequently the duties will include, but are not limited to the following:

     

    - Preparing and monitoring daily work orders. This includes assigning and closing out completed work orders in E-Forms.

     

    - Processing invoices, answering phones and making service calls to vendors as needed.

     

    - Prepare work order reports, vendor service reports and conference room usage reports as needed.

     

    - Review and handle resignation E-Forms, Staff Action requests and mobile device related issues.

     

    - Populate OTI approved spreadsheets and templates for VoIP related projects.

     

    - Maintain accurate and up to date records of our VoIP and mobile device inventory.

     

    - Setting up new mobile device users in OTI hosted Workspace ONE System.

     

    - Activate and issue new or upgraded mobile devices to users. Replace broken or lost mobile devices.

     

    - Resetting VM pins and processing new users, transfers and resignations using OTI hosted CUCDM System.

     

    - Liaison with OTI to rectify any VoIP or mobile device issues.

     

    - Assist with maintaining the agency fleet and schedule agency vehicles for service and preventive maintenance as per schedule.

     

    - Update vehicle status and report incidents and accidents via DCAS Fleet Focus M5 System.

     

    - Coordinate all water deliveries to our outer borough locations with the City's approved water delivery vendor. Keep accurate records of all inventory, deliveries, and pickups per location.

     

    - Assist with setting up Audio Visual equipment and software used during conferences.

     

    - Assist with ordering and distributing certificates for new hires and promotions.

    Qualifications

    Qualification Requirements

    A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.

     

    Skills Requirement

     

    Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
