Job Description
MAIN FUNCTION:
Responsible for providing clerical and administrative support for the recruitment, marketing, and accounts management activities of Arnot Health for AOMC and Outpatient Services including locum tenens providers. Reports to the Director of Provider Recruitment.
DUTIES AND RESPONSIBILITIES:
+ Is responsible for sending the Biographical New Provider Profile to marketing for the Arnot Health website.
+ Coordinates the ordering and delivery of lab coats, and the scheduling of new provider professional photos with marketing.
+ Coordinates with AMS Administration to update the Arnot Health Office Phone Directory.
**4. Collaborates with AOMC and AMS operations and service line directors to coordinate onboarding, pre-employment, screenings, orientation itineraries, and orientation for new locum provider for Joint Commission compliance.
**5. Facilitates presentation of candidate profiles to leaders and assists in screening and interviewing.
**6. Negotiates with locum agencies to secure quality staffing at a reasonable rate.
**7. Coordinates travel and lodging details with the locum’s firm.
**8. Is responsible for developing and maintaining the monthly locum tenens assignment calendar and dispersing to appropriate departments.
**9. Maintains cost/revenue summary for facilitating management of locum tenens resources.
**10. Coordinates integration of locum tenens placements with the Provider Enrollment department to ensure billing for provider services can take place.
+ Ensures that locum tenens physicians submit all necessary documentation and billing records for services rendered to Arnot patients prior to the end of their placement term.
**12. Maintains an accurate and timely ledger of all revenues and expenses associated with each locum tenens placement.
** 13. Is responsible for the planning and coordination of permanent provider pre-boarding and onboarding activities including collaborating with Occupational Medicine and Human Resources for all new provider pre-screenings and pre-employment paperwork.
** 14. Is responsible for development and coordination of all aspects of the week-long Provider Orientation including maintaining the AMS Orientation binder and maintaining the Orientation Itinerary for Joint Commission compliance.
**15. Develops and maintains the Provider Critical Dates spreadsheet to track upcoming license and DEA expiration dates, and to send providers reminder notifications.
+ Assists as requested with development of candidate visit itineraries, including interacting with Provider and significant other, making arrangements for travel, introduction of candidates to executive team, and providing local transportation for candidate as needed.
+ Assists in-house recruiters with logistics of the recruitment process to result in the successful placement of provider candidates.
+ Assists in-house physician recruiters to profile positions and develop practice opportunity descriptions.
+ Is responsible for scheduling, maintaining reports, and attending Provider Onboarding meetings, Start Date meetings, and weekly Recruitment meetings.
+ Maintains confidentiality with regard to all aspects of the everyday functioning of the department to include but not limited to records, files, meetings, personal and professional correspondence.
+ Is responsible for attending all annual mandatory educational programs as required by position.

EDUCATION:
Bachelor’s degree in management, business or similar field or an associate’s degree in combination with three years’ relevant healthcare experience is required.
EXPERIENCE:
Exceptional computer literacy and organizational skills with demonstrated skill in MS Office applications required. Experience demonstrating strong written and verbal communications skills including use of proper grammar, proofreading, and articulate and engaging presentation skills is required.
PHYSICAL DEMANDS:
Light physical effort required. Regularly lifting 10 lbs. and occasionally lifting 25 lbs.
EXPOSURE CATEGORY:
Category III. No exposure to blood, body fluids, or tissues. And Category I tasks are not a condition of employment.
