    POSITION DETAILS

    The Hunter College School of Education (SOE **)** , founded in 1870 as New York City’s first teacher-preparation school, is both rooted in history and focused on the future. Committed to developing reflective, knowledgeable, and highly effective educators, administrators, and counselors, the SOE is one of the largest professional schools within the City University of New York (CUNY). With over 75 full-time faculty members across three departments and more than 100 programs, the SOE serves approximately 3,000 students pursuing education and certification in teaching, counseling, and school administration. The school is also home to CUNY’s first Doctor of Education (EdD) in Instructional Leadership.

     

    The Executive Assistant to the Dean for Administration plays a vital role in the Dean’s Office in ensuring the smooth operation of key administrative functions within the School of Education. Reporting directly to the Dean, along with the CUNY Title overview, responsibilities for the role include but are not limited to:

     

    + Overseesand monitorsundergraduate and graduate course scheduling to assure course offerings facilitate student degree progress and maximize the efficient use of available resources.

    + Assuresacademic departments comply with scheduling deadlines and understand scheduling practices and policies.

    + In collaboration with academic department chairs and Scheduling, developsand executesstrategies to assure adequate availability of teaching labs and large lecture rooms for high demand courses.

    + Assuresseats in allcourses, including those courses with clinical components, meet student demand by regularly communicating with Admissions and Advising on anticipated course needs.

    + When appropriate, coordinates with department chairs and administrators to adopt more efficient course scheduling and use available resources.

    + Serves as liaison with the Office of Human Resources (HR) for onboarding professional and administrative staff, managing sensitive HR matters including staff reappointments, attendance, and salary.

    + Handlesall aspects of Faculty Promotion and Tenure for the Dean, organizing meetings for the School’s Personnel and Budget Committee to review faculty reappointments, tenure, and promotion, and ensuring that faculty materials are complete within the college’s Interfolio system.

    + Workswith the Assistant Dean for Budget, External Affairs, and Administration, and in collaboration with the academic department staff, manage appointments for teaching and non-teaching adjunct faculty, ensuring that onboarding paperwork and employee verifications are in compliance with the college’s policies.

    + Manages purchasing for the School

    + Completes other duties as assigned by the Dean

    QUALIFICATIONS

    Bachelor’s degree and eight years’ related experience required.

    Preferred Qualifications

    + Experience working with a variety of stakeholders, including faculty, administrators, staff, and external partners

    + Strong communication skills, both written and verbal, with the ability to convey information clearly and professionally.

    + Proficiency in administrative and academic systems, including spreadsheets (Excel, Google Sheets), Interfolio, and CUNYfirst.

    + Excellent organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.

    + Attention to detail and accuracy, particularly in handling data, reports, and institutional records.

    + Discretion and professionalism, especially in managing confidential information related to HR, faculty affairs, and purchasing.

    + Problem-solving and critical thinking skills, with the ability to address challenges and improve processes.

    + Ability to work independently andcollaboratively, demonstrating initiative while supporting team goals.

    CUNY TITLE OVERVIEW

    As a senior staff member in a Campus or University Executive's office, leads unit initiatives, participates in planning and setting priorities, and drives strategic initiatives to ensure their success.

     

    - Participates in planning and in setting policies with responsibility for preparing aspects of strategic and operational plans. Participates in developing and executing performance management systems to evaluate progress.

     

    - Works with other Campus and University units to oversee complex, high-priority projects, with responsibility for outcomes.

     

    - Represents the Executive in Campus or University-wide activities and may act in his/her place when required.

     

    - Independently carries out major responsibilities under the Executive's purview, such as monitoring and evaluating unit activities, financial planning and review, serving as chair of key committees, and communications with senior Campus or University management.

     

    - May serve as Chief of Staff of a large Executive Office.

     

    - Performs related duties as assigned.

    COMPENSATION AND BENEFITS

    Salary commensurate with education and experience. The salary range for this position is: **$87,190 - 107,789.**
