Job Title: Data Entry Specialist
Job Description
The Data Entry Specialist will be responsible for providing sample receiving information and communications accurately, efficiently, and in a timely manner to clients, while also proposing improvements. This role involves 75% data entry and document management with high attention to detail, and 15% corresponding with clients via email and phone.
Responsibilities
+ Monitor client requests and organize the receiving process from initial communications to LIMS login of samples, verifying and documenting within Labworks system.
+ Generate unique sample ID numbers in the login systems following Standard Operating Procedures (SOPs) using LIMS software and SAP system.
+ Verify generated system information against clients’ sample submission forms for accuracy and consistency.
+ Communicate necessary information with lab staff to ensure streamlined workflow for meeting customer expectations and requirements.
+ Generate and verify quotes to convey accurate price information to clients based on received requests and sample submission forms.
+ Generate sample receipt emails and communicate with clients about the login status of submitted samples while maintaining confidentiality policies.
+ Coordinate sample shipments to external third-party laboratory services as needed.
+ Provide customer service to current and prospective clients, answering general inquiries about services and responding to questions about turnaround times and receipt emails.
+ Maintain client files and detailed records of communications via hard copy and electronic network locations.
+ Update and maintain the sample log.
+ Report LIMS issues and data tracking issues to the Supervisor and/or Sales and Marketing Manager.
+ Contribute to the continuous improvement of customer service processes by proposing and implementing changes for improving customer service quality.
+ Obtain and retain up-to-date knowledge of testing services, participating in internal and external training, and professional and technical meetings.
+ Support other customer service roles including sample reporting as needed.
+ Perform other duties as assigned by the Supervisor and/or Sales and Marketing Manager.

+ Six months to one year of office experience (administrator, office coordinator, data entry, or customer service) or equivalent combination of education and experience

Pay and Benefits
The pay range for this position is $20.00 - $20.00/hr.
