BAE Systems, Inc. is seeking an experienced administrative professional with strong attention to detail and excellent communication skills to provide support to the Senior Vice President of Strategy and Corporate Development (SVP, S&CD) and limited staff. This position will act as the administrative focal point for the Senior Vice President, Strategy and Corporate Development and will be responsible for providing analytical and specialized administrative support for a variety of duties and tasks, as well as day-to-day coordination of meetings and travel. In this role, you will work on assignments that are complex in nature where independent action and a high degree of initiative are required in resolving problems and developing recommendations. Additional responsibilities and opportunities exist to support and lead critical projects with other S&CD Leadership Team members.
Primary duties and responsibilities:
+ Support the SVP and limited staff as the administrative focal point
+ Lead and assist with critical projects as a member of the leadership team.
+ Development of PowerPoint presentations for quarterly business meetings and others documents as required. Support metrics analysis, web maintenance and SharePoint coordination
+ Manage communications with executive level internal and external customers. Maintain a variety of soft and hard copy records/files that involve company sensitive data with the highest level of confidentiality and tact. Manage all aspects of receiving and screening all forms of communication as required
+ Maintain the SVP calendar, arrange meetings and appointments.
+ Maintain and track meeting and other action items through completion
+ Coordinate, facilitate and provide support for various conferences, meetings and events with a high degree of tact and diplomacy. Manage meeting and event logistics and connections, including catering. Coordinate highly visible meetings with domestic and international visitors.
+ Coordinate extensive domestic and international travel for the SVP and limited staff. Manage travel arrangements, expense reporting and procurement card reconciliation
+ Maintain office supplies in support of successful operation for the S&CD team. Perform general administrative duties including but not limited to: typing, copying, collating, stapling, preparing packages for delivery, filing, recordkeeping, and data entry
+ Other duties as requested.
Required Education, Experience, & Skills
+ Associate degree and 4 years of relevant experience
+ Bachelor s degree may replace the experience requirement
+ Experience in coordinating, facilitating, and supporting conferences, meetings, and events
+ Experience managing complex calendars of SVPs
+ Experience in leading critical projects as a member of a leadership team such as: presentations for quarterly business meetings, metrics analysis, web maintenance, and SharePoint coordination
+ Experience facilitating executive travel and organizing small to medium size events
+ Must have a proactive approach to problem-solving with strong decision-making skills
+ Robust ability to multi-task and prioritize daily workload ensuring tasks and deadlines are met
+ Advanced level proficiency in Microsoft Office applications: Teams, Word, Excel, PowerPoint, and Outlook.
+ General knowledge of computer hardware and office equipment.
+ Excellent verbal and written communications skills
Preferred Education, Experience, & Skills
+ Bachelor s degree
+ Certified administrative professional
+ Formal training in Microsoft Office Suite and Microsoft 365
+ 10 plus years of related experience
Pay Information
Full-Time Salary Range: $71635 - $114616
Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
