Description

We are seeking an experienced and detail-oriented Sales and Operations Administrator to support and optimize our sales and logistics operations based near London, Kentucky. This position requires collaboration across multiple departments, including Logistics, Planning, and Accounting, to ensure efficient and customer-focused service delivery. The ideal candidate will have excellent communication skills, and the ability to manage multiple responsibilities effectively. Strong ERP and Excel skills are a must.

Key Responsibilities:

• Process customer orders, confirm stock availability, and ensure timely delivery.

• Generate customer invoices, monitor accounts receivable, manage overdue invoices, and handle collections processes.

• Respond to quotation requests and organize transport orders, including international shipments.

• Ensure seamless shipping and delivery processes, including overseas transportation from Europe.

• Monitor stock levels, coordinate purchase orders, and manage restocking activities.

• Address and resolve challenges such as delivery delays or accidents.

• Ensure adherence to international transport regulations and negotiate with suppliers to achieve favorable terms.

• Regularly report to management in Europe, adjusting for the six-hour time difference.

Additional Responsibilities:

• Collaborate with clients to determine production volumes based on firm orders and forecasts.

• Prepare and communicate production orders with inter-company planning departments.

• Arrange transportation conditions and approve invoicing rates.

• Prepare export documentation and confirm product availability for shipment.

• Conduct weekly reviews of outstanding invoices and follow up on overdue accounts.

Requirements

Requirements:

• Proven experience in logistics, customer service, or a related field.

• Strong teamwork skills and adaptability.

• Proficiency in Microsoft Dynamics AX or similar ERP software.

• Excellent communication skills, with fluency in English.

• Exceptional attention to detail and strong analytical skills.

• Bachelor’s degree in Sales, International Trade, Logistics, or a related discipline preferred.
