Description We are looking for a highly organized and proactive Executive Assistant to support senior leadership at our Seattle, Washington office. This Long-term Contract position requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will act as a key liaison between executives, board members, and various departments, ensuring smooth operations and effective coordination.
Responsibilities:
• Prepare and edit documents, presentations, and communications using various software tools, including Boardbook, CRM, and Concur.
• Manage the executive calendar, scheduling appointments, arranging meetings, and coordinating travel plans with precision.
• Organize conference room bookings, tours, and collateral materials to facilitate smooth event execution.
• Oversee special projects and assignments, including risk management reporting, policy updates, staff suggestion programs, and client surveys.
• Serve as a vital communication bridge between executives and internal departments, fostering trust and credibility.
• Anticipate executive needs by preparing for meetings, conferences, and other commitments to ensure readiness.
• Coordinate board meetings and retreats, including agenda development, notice postings, and report preparation.
• Maintain accurate records and files, conducting periodic audits and archiving materials according to retention schedules.
• Support board members and committees with scheduling, agenda preparation, and information dissemination.
• Uphold high standards and contribute to the organization’s mission by adhering to established procedures and protocols. Requirements • Proven expertise in calendar management and scheduling for senior executives.
• Proficiency in tools such as ADP, Cisco Webex Meetings, Concur, CRM, and Kronos Timekeeping System.
• Strong written and verbal communication skills to effectively interact with internal and external stakeholders.
• Ability to handle confidential information with professionalism and discretion.
• Demonstrated ability to manage multiple priorities and meet deadlines under pressure.
• Familiarity with Open Public Meetings Act and experience coordinating board-related activities.
• Exceptional organizational skills with a keen eye for detail and accuracy.
• Knowledge of emergency preparedness procedures and ability to act calmly during high-pressure situations. TalentMatch®
