Physician Liaison / Administrative Coordinator
Position Summary
The **Physician Liaison / Administrative Coordinator** for the Physician Outreach office will be responsible for a variety of support and coordination of activities as it relates to Physician Outreach. The **Physician Liaison / Administrative Coordinator** will be responsible for providing administrative support and coordination of all daily activities.
The **Physician Liaison / Administrative Coordinator** will act as a liaison between SB Medicine and community physician practices by visiting them on a regular basis. The **Physician Liaison / Administrative Coordinator** will be responsible for troubleshooting, prioritizing, acting upon and/or reassigning inquiries and/or problems on behalf of the department. The **Physician Liaison / Administrative Coordinator** will also serve as an administrative coordinator for a variety of projects as it relates to Physician Outreach, including coordinating and assist in organizing special events.
Duties of the Physician Liaison / Administrative Coordinator** i **n for the Physician Outreach office may include the following but are not limited to:
+ Receive telephone calls and visitors on behalf of the Physician Outreach Department
+ Outreach to community physician offices, visit offices throughout Suffolk County on a regular basis
+ Manage Department budget - Coordinate monthly expenditure invoices; prepare payment vouchers for vendor payments and reimbursements as needed
+ Enter, manage, and track department activity in SharePoint Database
+ Run monthly reports
+ Assist with organizing special events
+ Respond in a timely manner to requests from community physicians and their staff
+ Maintain the data integrity in the Cerner database
+ Connect community physicians and their staff to their patients protected health information in the Community Physician Portal - Assist with Portal applications and new user follow-up
+ Respond to inquiries from community practices, troubleshoot and make independent judgments when able, refer or provide solutions to issues raised or identified
+ Compile marketing materials, coordinate special projects including management of mass mailings, catering, and support of events
+ Manage and prioritize the departments incoming and outgoing mail
+ Other duties as assigned
Qualifications
**Required Qualifications:** Associate’s degree and at least 2 year of customer service/administrative experience or, in lieu of degree, at least 4 years of customer service/administrative experience. Current and Valid NY Driver License. Proficiency with computer software including Microsoft Word and Excel. Ability to manage multiple priorities and tasks, coordinate schedule(s)/calendar and work in a fast paced environment. Ability to work collectively and independently on assigned tasks as well as accept direction on given assignments. Team player. Strong written and verbal communication skills.
**Preferred Qualifications:** Bachelor’s degree. Experience in coordination of large scale events/activities. Previous community outreach experience. Experience with budgets, monitoring spending, and reconciling invoices for vendor payments. Experience completing mail merges. Experience compiling meeting materials for meetings. Experience in a large or complex environment within the public sector of non-profit environment.

+ Provide a copy of any required New York State license(s)/certificate(s).

Anticipated Pay Range:
The salary range (or hiring range) for this position is $46,818 - $6424 / year.
The above salary range represents SBUH’s good faith and reasonable estimate of the range of possible compensation at the time of posting. The specific salary offer will be based on the candidate’s validated years of comparable experience. Any efforts to inflate or misrepresent experience are grounds for disqualification from the application process or termination of employment if hired.
Some positions offer annual supplemental pay such as:
+ Location pay for UUP, CSEA & PEF full-time positions ($3400)
