CBO Assistant - PPG CBO - Full Time

Performs administrative and clerical support services related to central billing office operations, including but not limited to reception and phone duties, payroll/personnel, accounts payable, data entry, general filing, receipt, sorting and distribution of mail and fax communications; requisition and maintenance of CBO supply inventory.
ACCOUNTABILITIES
*All duties listed below are essential unless noted otherwise*
Payroll/Personnel:
1. Performs all payroll/personnel duties for CBO staff, including Kronos maintenance, payroll processing, benefit administration and personnel file maintenance.
2. Setup and maintenance of post-hire employee payroll information in PeopleSoft database.
3. Daily maintenance of Kronos, including manual entry of time clock adjustments, corrections, and VHS hours.
4. Input of payroll deductions, labor distributions and prior pay period adjustments as applicable.
5. Reconciliation of hours worked in Kronos and submits biweekly transmission of payroll
6. Verify and distribute paychecks.
7. Coordinate and monitor the completion of all required forms for new employees.
8. Maintains all personnel records, employee medical records, and mandatory periodic reports in accordance with company retention policies and procedures.
9. Maintains strict confidentiality of all payroll/personnel information.
Administrative/General Support:
10. Sorts, date-stamps and routes incoming mail; prepares outgoing mail for pickup.
11. Maintains inventory of CBO supplies and places orders as needed through Administrative Support Center purchasing system.
12. Maintains office equipment and postage meter.
13. Assists with data entry as needed.
14. Provides administrative and/or secretarial services to CBO Director and managers.
15. Answers and routes incoming phone calls, relays messages, and greets visitors with enthusiasm and professional demeanor.
16. Processes all accounts payable for CBO.
17. General filing.
18. Adheres to the Company Code of Conduct and Business Ethics policy, including documentation and reporting responsibilities.
19. Performs other duties as assigned.
Years of Experience: Two (2) years administrative experience, which may include customer service and reception, secretarial duties, and/or payroll and personnel functions. Familiarity with basic filing systems and office equipment. Must possess strong computer / keyboard skills of the type and level that is sufficient to operate, or quickly learn, all of the software programs necessary to accomplish the job, including Word, Excel, Windows, Outlook e-mail and automated payroll/personnel systems.
