Accounts Payable Coordinator

We’re looking for a detail-oriented and organized Accounts Payable Coordinator to support the accurate processing of invoices, manage vendor accounts, and help ensure timely payments. Reporting to the Sr. AP Supervisor, this role plays a key part in maintaining our financial operations and building strong vendor relationships. There is potential to take on supervisory responsibilities for 2–3 junior team members after the first 6-12 months - making this a great opportunity for someone eager to grow into a leadership role while contributing to a high-performing, fast-paced team!
Please Note: This position is a hybrid role, involving on-site work each week at our corporate headquarters in Concord, CA. Candidates who are fully remote or outside of reasonable commuting distance will not be considered at this time.
Responsibilities:
+ Invoice Processing: Receive, review, and process vendor invoices accurately and efficiently.
+ Payment Processing: Prepare and process payments via check, electronic transfer, or other methods in accordance with company policies and procedures.
+ Vendor Management: Maintain vendor accounts, including obtaining W-9s, reconciling statements, resolving discrepancies, and responding to vendor inquiries in a timely manner.
+ Expense Reports: Review and process employee expense reports, ensuring compliance with company policies.
+ Corporate Credit Card: Review and prepare weekly journal entries for all employee corporate credit card expenses, obtain proper documentation and support, and respond to credit card-related inquiries from employees in a timely manner.
+ Month-End Closing: Assist with month-end closing activities, including account reconciliations and accruals related to accounts payable.
+ 1099 Reporting: Prepare annual Form 1099
+ Record Keeping: Maintain accurate and organized financial records, including electronic and physical filing systems.
+ Compliance: Ensure compliance with company policies, as well as local, state, and federal regulations related to accounts payable.
+ Process Improvement: Identify opportunities for process improvement and efficiency enhancements within the accounts payable function.
+ Reporting: Generate reports and provide analysis related to accounts payable as needed.
+ Cross-Functional Collaboration: Collaborate with other departments, including procurement and finance, to resolve issues and improve processes.
Qualifications:
+ Minimum of 2-3 years of experience in accounts payable in a similar role.
+ 1 year in a supervisory capacity, overseeing accounting professionals (preferred).
+ Bachelor’s degree in Accounting, Finance, or related field preferred.
+ Certification in Accounts Payable is a plus.
+ Strong proficiency in accounting software and Microsoft Office Suite, especially Excel.
+ Familiarity with enterprise resource planning (ERP) systems is advantageous.
+ Attention to Detail: High level of accuracy and attention to detail in processing invoices and payments.
+ Organizational Skills: Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
+ Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with vendors and internal stakeholders.
+ Problem-Solving Skills: Ability to identify issues, analyze root causes, and propose effective solutions.
+ Team Player: Collaborative attitude and willingness to work closely with colleagues to achieve departmental goals.
+ Adaptability: Ability to adapt to changing priorities and work effectively in a dynamic environment.
+ Integrity: Maintain confidentiality and uphold ethical standards in handling financial information and transactions.

The salary range for this position is expected to be $75,000/yr-$85,000/yr. Pet Food Express determines starting salary based on many factors, including but not limited to, local market rate, the qualified pool of candidates, internal compensation practices, a candidate’s actual skills and experience.
