Job Description
The Advanced Level Accounts Receivable Specialist plays a crucial role within the leadership team, directly reporting to the Accounts Receivable Manager. This position is tasked with managing the daily operations of the team for one or more Shared Services companies. Key responsibilities include ensuring timely receipt of payments for goods and services, accurately recording transactions by posting receipts, and resolving discrepancies in line with established policies and procedures. This role demands strong analytical and decision-making skills, exceptional problem-solving and research abilities, and proven experience in training, mentoring, and leading a team in a dynamic environment. A solid understanding of accounts receivable principles, financial transactions, and reconciliation processes is essential.
Responsibilities
+ Manage the daily operations of the Accounts Receivable team, ensuring efficient, timely, and accurate posting of receipts.
+ Ensure payments for goods and services are received and properly recorded, and deposits are completed for month-end close.
+ Investigate and resolve discrepancies in accordance with company policies and procedures.
+ Provide leadership and direction to the Accounts Receivable team, ensuring deadlines and performance standards are met.
+ Mentor and train team members, fostering a high-performance culture within the department.
+ Conduct regular reviews of Accounts Receivable processes to ensure efficiency and accuracy.
+ Develop and implement strategies to improve payment collection processes and reduce outstanding balances.
+ Maintain strong communication with internal teams and external stakeholders to resolve payment-related issues.
+ Utilize strong analytical skills to assess financial data, recommend improvements, and make informed decisions.
+ Provide regular reports to the Accounts Receivable Manager regarding team performance, trends, and areas for improvement.
+ Regularly run and review accounts receivable aging reports to identify and address outstanding accounts.
+ Organize and lead weekly AR Aging Meetings with direct reports.
+ Effectively train and mentor direct reports, ensuring team members have the necessary tools to perform their job duties.
+ Handle escalated calls, complaints, or questions, ensuring timely resolutions.
+ Assist the manager with the interviewing process as needed.
+ Perform account audits and follow up with internal and external auditors to ensure policy and process compliance.
+ Establish and cultivate relationships with vendors, internal, and external customers in a timely and professional manner.
+ Resolve valid or authorized deductions by booking adjusting entries.
+ Verify customer payment deductions and contact customers to resolve any discrepancies.
+ Generate monthly, quarterly, or annual financial statements and reports detailing paid and unpaid invoices and other accounts receivable activity.
+ Prepare, verify, and process invoices for sales or services rendered as needed.
+ Protect the organization’s value by keeping confidential information secure.
+ Create and document AR tasks by updating and revising department user manuals.
+ Run weekly phone reports, daily production reports, and update AR users and the manager.
+ Responsible for ERP system conversion, testing, presenting, implementing, and successful conversion.
+ Perform other duties as assigned, including collections, cash applications, disputes, chargebacks, research lines, answering phones, and other assigned tasks.
Essential Skills
+ High School Diploma or GED required.
+ 3+ years of accounts receivable experience.
+ Technically skilled to operate in multiple ERP and various systems.
+ Proficiency in Microsoft Excel and Microsoft Word.
+ Knowledge of general accounting principles.
+ Experience coaching and mentoring team members.
Additional Skills & Qualifications
+ Associates Degree or equivalent from a two-year college or technical school preferred.
+ Effective verbal, listening, and written communication skills.
+ Analytical skills, in-depth organization and decision making.
+ High degree of accuracy, attention to detail, and confidentiality.
+ Flexibility to assist any of the companies supported by the Shared Services team.
+ Experience in Pharma/BioTech/MedTech is desirable.
+ Preferably from a larger organization.

Office space in downtown ATX with a premium, gorgeous view. Work alongside the AR/Payroll teams in an open concept office with cubicles. This shared services team has 4 A/R Reps assigned to their entity, with a total of 14 A/R Reps. Pay and Benefits
The pay range for this position is $26.00 - $29.00/hr.
