    Required Minimum Qualifications:Bachelor’s degree and 2 years of related experience

     

    Preferred Qualifications:Experience processing invoices, procurement card transactions, and expense reports within a financial system such as Workday, Oracle, SAP, Banner, or similar

     

    Prior Experience reviewing and interpreting financial reports and performing reconciliation tasks

     

    Previous experience with accounts receivable, accounts payable, and payroll

     

    Proficiency in Microsoft Excel, including the use of formulas and pivot tables for financial tracking and reporting

    Job Description:

    Are you detail-oriented, self-motivated, and energized by keeping complex financial operations on track? The Department of Residence at Iowa State University is hiring a Business Administrator II to support the behind-the-scenes financial activity that helps our residence halls, apartments, and services run smoothly. This role is ideal for someone who can work independently, digs into the details to spot errors, and communicates effectively with a wide range of campus partners.

     

    In this role, you’ll process financial transactions, review reports, and collaborate regularly with other departments to ensure shared expenses are accurate and well-documented. This position requires someone comfortable managing multiple priorities, navigating systems, and taking initiative when something doesn’t look quite right—whether it’s following up on a questionable charge or helping others understand financial procedures.

    What you’ll do:

    + Process invoices, expense reports, procurement card transactions, and purchase orders.

    + Analyze internal billing and account transfers, identifying discrepancies and ensuring accurate charges.

    + Guide staff through purchasing steps and financial procedures, helping them stay in compliance.

    + Collaborate with departments across campus to verify shared expenses and resolve billing issues.

    + Support monthly reporting by reviewing summaries, researching unusual activity, and flagging concerns.

    + Track financial activity across accounts and systems to maintain internal accuracy and transparency.

    + Serve as the first contact for staff with questions on financial processes and documentation.

    Example of Duties

    + Represents the department on business affairs and/or faculty affairs to the institution community.

    + Monitors and interprets operational policies and procedures in areas such as information technology, communications, and facilities.

    + Develops and prepares budgets and financial reports for grants, general appropriations, endowments, and other funds.

    + Establishes financial and operational systems to monitor, control, and verify expenditures and carry out financial analysis.

    + Manages day-to-day operational needs of a department.

    + May assist with employment business needs such as hiring of students, timekeeping responsibilities, and scheduling.

    + May supervise students.

    Leveling Guidelines

    + Intermediate-level position with solid professional and/or technical skills working under general supervision to achieve goals

    + Applies broad, working knowledge of the principles of the field to moderately complex, difficult, and varied problems and issues

    + Exercises judgment within defined procedures and practices to determine appropriate action and resolve problems

    + Responds to a broad range of inquiries and requests

    + May provide training and/or direction to lower-level staff

    + May lead projects of moderate scope and complexity

    + Provides guidance to students
