Budget Title: Staff Assistant (SL-2)
Salary: $50,000 - $55,000
The Facilities and Events Coordinator is responsible for overseeing facility related projects, managing work orders and manage the scheduling of campus recreation facilities for both internal and external organizations. This position plays a critical role in ensuring efficient facility operations, event planning, risk management, and customer service for students, faculty, staff, and community groups.
Essential Duties and Responsibilities:
+ Oversee the internal facility reservations process, coordinating with student organizations, club sports, intramural programs, academic departments, and university-affiliated groups.
+ Manage external reservations by processing permits through the university's Workflow system, coordinating with external clients, and ensuring compliance with university policies.
+ Serve as the primary point of contact for all facility scheduling and successful execution of events in recreation spaces.
+ Assist the assistant director of operations and student personnel to recruit, train, supervise, and evaluate a diverse facility operations student staff, including building managers and event support staff.
+ Develop and enforce operational policies and procedures to ensure efficient and safe facility use.
+ Assist in the oversight of facility maintenance and custodial operations in collaboration with Physical Facilities.
+ Coordinate risk management procedures, ensuring proper safety protocols are in place for all events and facility operations.
+ Manage and track facility usage, collecting data on reservations, attendance, and revenue generation to inform decision-making.
+ Assist assistant director of business operations with budget planning, invoicing, and processing payments for external rentals.
+ Assist in maintaining and troubleshooting facility reservation software and related technology systems (Fusion, B-There).
+ Promote sustainable facility operations, ensuring recreation spaces are environmentally responsible and efficient.
+ Support department-wide special events related to student engagement, leadership development, and well-being.
+ Serve on university and divisional committees as needed.

+ Excellent communication and customer service skills
+ Ability to work collaboratively with diverse groups
Job Requirements:
+ Bachelor's degree in Sports Management, Recreation, Higher Education, Business Administration, or a related field
+ Experience with risk management best practices for recreational facilities
+ Ability to work a flexible schedule, including occasional evenings and weekends
+ Ability to lift up to 50 lbs.
+ Possess CPR, First Aid, and AED certifications; or the ability to obtain them upon hire
Preferred:
+ Master's degree in Sports Management, Recreation, Higher Education, or a related field
+ Minimum of two years of experience managing facility scheduling, event services, or operations in a recreational or athletic facility
+ Experience using facility reservation and event management software
+ Experience working in a university recreation setting
+ Experience supervising student employees and event staff
+ Experience with recreation and event software such as Fusion and SubItUp
+ Experience developing and managing facility policies, procedures, and budgets
