    MINIMUM REQUIREMENTS:

    A bachelor's degree from an accredited college or university and two (2) years of administrative experience.

    A master's degree from an accredited college or university can substitute for one year of the required experience.

     

    Administrative or clerical experience can substitute on a year-for-year basis for the required college education.

     

    An equivalent combination of education and experience which equals six (6) years can substitute for the above requirements.

    JOB DUTIES:

    The incumbent in this position performs administrative activities that involve independently planning administrative objectives and priorities. Duties include planning, initiating and carrying out a variety of complex administrative activities in a highly responsive and confidential manner. This position reports directly to the Chief of Investigative Services and supports the Office of Inspector General (OIG).

     

    Receives incoming telephone calls and correspondence from internal and external stakeholders and routes appropriately. Answers inquiries as needed, which may involve the interpretation of policies and procedures. Recommends resolution of incoming correspondence and coordinates the responses in a timely and effective manner. Prepares drafts of memoranda, correspondence, reports and other material as needed. Maintains files, correspondence, documents and reports, both in electronic and print format. Maintains OIG division update for dissemination to Commissioner.

     

    Procures services, supplies, training, and equipment to meet the operational needs of the OIG. Utilizes department administrative payments processing system to process purchase requisitions and pay invoices in accordance with department policy within established timeframes for the OIG. Reconciles all OIG disbursements each month. Reviews and assists with purchasing card charges for the OIG within the PCard system.

     

    Enters case information into the investigative database, spreadsheets and OIG correspondence log. Conducts administrative tasks associated with investigative case procedures. Compiles, verifies, coordinates, and reports case related information to assist investigators. Provides research assistance for investigators utilizing multiple software, databases and department resources as requested. Produces reports and investigative statistics as requested.

     

    Serves as OIG Public Records liaison. Receives and responds to OIG public records requests; coordinates and distributes responses in a timely manner. Serves as Records Management Liaison. Performs annual records inventory and schedules records for purging.

     

    Serves as OIG Travel Liaison. Enters travel authorization and reimbursement requests in the travel management system as requested. Schedules meetings and makes travel arrangements for the OIG as needed.

     

    Reviews monthly vehicle logs for the OIG and enters data into the fleet information management system; updates changes in assigned vehicle and driver information. Reconciles charges with vehicle logs each month.

     

    Serves as a Notary Public for the OIG.

     

    Performs other duties as necessary.
