Title: Senior Administrative Coordinator
Schedule: M-F Full Time
Type: Contract
Responsibilities:
Play a pivotal role in providing support to 3 executives on the Leadership team, as well as collaborating with other admins and Cambridge-site colleagues to facilitate site events, activities and logistics.
+ Managing calendars for three busy executives including managing meeting logistics, assisting in creating agendas, keeping meeting minutes, keeping track of action items.
+ Assisting with preparing presentation slides in PowerPoint.
+ Serving as the point of contact for scheduling complex cross-functional meetings between sites.
+ Organizing team events, book travel (air, ground, hotel), and complete expense reports as needed.
+ Serving as a point of contact within group for company policies and procedures to ensure compliance, as well as internal resources and tools.
+ Supporting ad-hoc departmental projects including activities and events focused on company ERGs, social committee, etc.
+ Catering orders for larger meetings as needed.
+ Assisting with audio/visual technology support for meetings and townhalls
Requirements:
+ Associate's/Bachelor's degree is strongly preferred.
+ 2+ years of biotech or pharmaceutical industry experience preferred.
+ 5+ years of relevant administrative experience.
+ Advanced knowledge and proficiency in MS Office, SharePoint, Concur, and teleconference systems with the ability to assist with advanced troubleshooting is required.
+ Have the ability to maintain efficient communication between internal departments.
+ Have strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
+ Can anticipate future potential conflicts and needs and resolve in a timely manner.
+ Have experience working with senior leadership teams in a complex and ambiguous work environment.
+ Strive to achieve operational efficiency and a positive working environment.
+ Have strong analytical and problem-solving skills and ability to appropriately navigate multi-faceted and complex issues.
