    Job Responsibilities

    Responsibilities:

    + Assist with managing travel arrangements and proactively coordinate the pre-planning of trips including arranging appropriate travel, Visas, agendas and necessary contacts, country information, marketing materials, and other necessary preparations.

    + Assist with managing external contacts, proactively understand who they are, those that are priority contacts and keep track of periodic communication needed for priority contacts.

    + Update schedules as directed, ensure that they know their schedules in advance, keep appointments and meetings on time or change schedules when necessary.

    + Work with and manage information of a confidential nature requiring considerable discretion, judgment, tact, and diplomacy.

    + Analyze problems, determine approach, compile, and analyze data, and prepare reports/recommendations.

    + Support in the preparation of agendas and correspondence for staff and business meetings and maintain records and files of current and post projects, operations, and decisions for review of the Executive Administrator.

    + Work with spreadsheet, database, presentation, and word processing software packages in the preparation of requested documents.

    + Maintain and update confidential records, reports, files, databases & financial data.

    + Assist with scheduling, coordinating, producing materials, facilitating projects and other administrative support as directed.

    + Closely monitor all incoming information to quickly understand presenting issues. Refer matters to the Executive Administrator in the organization for action and follow up to ensure proper disposition.

    + Work with spreadsheet, database, presentation, and word processing software packages in the preparation of requested documents.

    + Perform data entry functions to process invoices, purchase orders, billing, and other duties as required.

    + Self-motivated and directed, with the ability to effectively prioritize and execute tasks in a high-pressure environment.

    + Computer proficient, experience with Microsoft office required

    + Strong ethics, integrity and leadership qualities that inspire trust and confidence

    + Strong interpersonal skills, with the ability to communicate and manage well at all levels of the company

    + Strong written and oral communication skills

    + Ability to prioritize and respond effectively to meet deadlines.

    + Excellent detail, organizational, and critical thinking skills.

    + Strong project management and time management skills.

    Qualifications:

    + Minimum of 10 years of experience in a professional business setting,

    + High level of business acumen and critical thinking required.

    + Excellent organizational, interpersonal, written, and verbal communication skills.

    + Demonstrated experience handling and maintaining confidential information.

    + Strong computer systems experience including expert level in all Microsoft Office products.

    Education:

    + Bachelor’s degree or equivalent experience

     

    Reasoning Ability

     

    Ability to apply common sense understanding, follow detailed and involved written or oral instructions. Ability to deal with problems involving multiple variables in standardized and unstandardized situations.
