Akin Gump Strauss Hauer & Feld LLP is a leading international law firm with more than 900 lawyers in offices throughout the United States, Europe, Asia and the Middle East. We are currently seeking a Human Resources Coordinator reporting to the Human Resources Manager.
The role will reside in the Washington, DC office with hybrid work capabilities and will be responsible for supporting the smooth execution of HR operations, processes and initiatives in the firm’s Washington and Philadelphia offices. The HR Coordinator is responsible for supporting various HR functions, including recruitment, employee relations, compliance, performance management and benefits administration. The HR Coordinator performs all responsibilities with a commitment to providing superior service to the firm’s lawyers, efficient and effective departmental operations, and an atmosphere of teamwork and continuous improvement. Above all, the Human Resources Coordinator must fulfill the needs of the office in a manner which is consistent with the Firm’s Core Values.
Key responsibilities of this position include:
General HR Administration and Project Support
+ Maintain and update employee records in the HRIS (Workday) and other applications, ensuring accuracy and confidentiality.
+ Prepare and process various HR documents, including employment verification, status changes and termination paperwork.
+ Manage busy email in-box, responding to employee questions concerning benefits, policies, payroll, HR systems, etc.
+ Ensure compliance with Federal, state, and local employment regulations (in Washington and Philadelphia offices).
+ Prepare various reports and Excel spreadsheets and as necessary.
+ Support regular audit of HR files and documents.
+ Coordinate the firm’s exit procedures for departing personnel, including conducting exit interviews and ensuring compliance with all firm and office procedures.
+ Respond to and oversee workers’ compensation claims for the Washington and Philadelphia offices, in consultation with HR Manager and Firm HR personnel.
+ Contribute to the continuous improvement of HR processes and systems to increase efficiency.
+ Remain current in industry trends in Human Resources and the legal profession.
+ Participate in the implementation of projects that increase the value of Human Resources services to business services employees and the firm.
+ Coordinate annual HR events such as biometric screenings, vaccination clinics, other wellness events, Staff Appreciation Day, and Years of Service celebration.
+ Support Summer internship program for business services employees.
Business Services Recruiting, Onboarding and Integration
+ Assist with business services recruiting efforts for the Washington and Philadelphia offices, working closely with the Business Services Recruiting team to ensure consistent practices and legal compliance.
+ Assist managers in creating and updating position descriptions and requisition forms for open positions.
+ Assist with business services recruiting efforts for respective office(s), working closely with the Business Services Recruiting team to ensure consistent practices and legal compliance.
+ Participate in interviews for open business services positions.
+ Work closely with the Sr. Human Resources Manager, Business Services Recruiters and hiring managers to develop competitive and fair offers. Assist with offer letters, communication with candidates and other hiring-related processes.
+ Assist with coordination and delivery of staff onboarding and integration for new hires following standard firm procedures.
+ Conduct new hire orientations as needed.
Employee Relations and Performance Assessment
+ Take proactive steps to ensure the strongest and most engaged workforce possible, including communicating effectively with lawyers and department management, and developing creative solutions to provide excellent service to the firm’s lawyers.
+ Serve as first point of contact for employee relations matters. Draft performance development plans for review by HR Manager.
+ Assist in coordination of performance review process.
+ Coordinate FMLA, medical and other leaves of absence in consultation with HR Manager and Firm HR personnel.
+ Assist in maintaining a positive work environment by supporting employee engagement, initiatives and events.
+ Support HR team by managing employee development plans and career progression initiatives.
Qualifications (Experience, Knowledge, Skills & Abilities):
+ Bachelor’s degree required
+ Two to four years of related human resources experience, preferably in a law firm or other professional services organization
+ Solid working knowledge of MS Office applications including Word, Outlook, Excel and PowerPoint
+ Familiarity with HRIS, databases and reporting applications. Experience with Workday HRIS preferred
+ Familiarity with administration of applicant tracking, onboarding and learning management systems; Rival and viDesktop experience a plus
+ Excellent interpersonal skills, discretion and tact
+ Strong oral and written communication skills

The anticipated base salary range for this position in Washington, DC is $75,000 to $90,000. The actual salary offered will be based on several factors, including, but not limited to, relevant education, qualifications, years of relevant experience, certifications or other professional licenses held, job-related knowledge and skills, business needs, and the location from which the work will be performed. Additionally, salary or hourly wages may be only part of the total compensation package, which may also include a full range of health and other insurance benefits, financial and/or other benefits (including 401(k) eligibility), a discretionary bonus, and various paid time off benefits.
