Location Description Visalia, CA is home to 360,000 square feet of manufacturing, packaging, warehouse, and office space. Approximately 250 employees work here, utilizing the latest technologies and systems, capable of producing extensive, diverse, and innovative pet food products. Visalia is in California’s San Joaquin Valley and the gateway to Sequoia National Park, part of the Sierra Nevada mountain range. It also has a minor league baseball team, the Visalia California Oaks, and several colleges and universities. Responsibilities Front Receptionist/Administrative Assistant – Visalia JOB FUNCTION The front desk staff is dependable and responsible for the successful operation of the PCB front desk and lobby area. The Front desk staff ensures employees, guests, and vendors receive the highest level of customer service. This position is the first impression of the organization and must be personable, knowledgeable, and patient. JOB ACTIVITIES/DUTIES Manage the front desk including: answering phones, assisting guests & employees, and tracking security badges Accept and sign for packages, sort incoming and prepare outgoing mail Manage the front desk and lobby area by keeping the space tidy and organized Answer and return phone calls and emails in a timely manner Support facilities with admin and accounting support Create and process and track purchase orders Maintains break room supplies Oversees locker and uniform assignments Restock conference room supplies Set up conference rooms for visitors, coordinate meals Must have reliable transporation for off site errands Organize company events Update and present in daily meetings Assist with new hires Assist with visitors, hotel and car rental bookings, flights, etc. Ordering of office supplies and business cards Promote and maintain knowledge of PCB programs and activities Help coordinate with EHS and HR departments as needed Demonstrate professionalism toward fellow employees, guests, and vendors Share resource knowledge and be supportive of employees Exercise tact, understanding, and empathy when addressing the needs, concerns, and inquiries of internal and external guests and vendors Maintain safety and security by following all safety and security procedures and communicate appropriately Perform other duties and assume other responsibilities as the need is apparent or as requested or delegated Responsible for various administrative tasks, including, but not limited to, typing various correspondence, mailings, scanning, printing, event research, ordering supplies and facility maintenance calls, off site errands Updating and managing contact lists and other documents Qualifications Education/Experience High School Diploma required, associated degree preferred 2 years Administrative and/or customer service experience 2 years Accounting/bookkeeping experience Skills/Abilities: Reliable and arrive punctually each workday Greet all guests and employees into a warm, friendly, and welcoming environment Create a positive first impression of the organization; in point of entry, written, verbal, and electronic communication, and physical environment Excellent communication and interpersonal skills Excellent customer service skills Ability to maintain confidentiality Understand and comply with professional ethics and standards of practice Seek increased responsibilities Ask for and offer help when needed Strive to continuously build knowledge and skills Display original thinking and creativity Problem solving Include appropriate people in decision-making process Adapt to changes, delays, or unexpected events in the work environment Support cost saving measures Complete assigned tasks within required time frame Highly organized with strong attention to detail Able to work independently as well as on a team Ability to knowledgeably answer, screen, and direct a busy switchboard Working knowledge of Microsoft Office programs, expense reporting software, and use of database systems Base knowledge of accounting or bookkeeping processes. Ability to organize workload with many conflicting priorities Physical requirements: While performing the duties of this job the employee is regularly required to sit, stand, climb stairs, climb step ladder, bend, kneel, use hands to write, type, use computers and lift up to 30 lbs JOB COMPLEXITY Relationships: Internal - Contact with all employees at every level External -Heavy contact with visiting sales personnel, job applicants, and incoming phone calls Problem Solving: Must have excellent communication skills Must take messages and relay information efficiently and accurately Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited direction may exist Post and its subsidiaries and/or affiliates require all employees to be verified through the I-9 and E-Verify process to confirm eligibility to work in the U.S. within three days of beginning employment.
