Hiring Range is $51,237 to $59,208 annually based on qualifications, education and experience as it relates to the position.
Position Summary:
Under the supervision of the Sports Complex Manager, this position is responsible for serving in a "hands-on" capacity to oversee the day-to-day operations of the front desk responsibilities of the Sports Complex, including hiring, training and scheduling part time staff to ensure all shifts are covered. The primary purpose is to provide excellent customer service, support the essential duties of the main Registration Office at Goodson with focus on athletic/ice programming, greet customers, answer phones, direct calls, assist customers with facility/class/league registration, prepare cash and revenue reports for the Sports Complex, and assist the Administration offices with phone calls and in-person visits. Performs duties in a manner consistent with the stated values of the organization.
Essential Duties:
+ Provides general leadership and support of day-to-day operations to ensure a high level of customer service, general policy enforcement and support of facility happenings.
+ Hires, schedules, supervises and evaluates assigned part-time staff, provides backup support as needed, and works with employees to correct deficiencies.
+ Reviews and approves direct reports’ bi-weekly timesheets. Work directly with Payroll Department to resolve any pay issues.
+ Develops competent and productive staff by planning, organizing and implementing a consistent employee training program, with a strong emphasis on safety, quality customer service, overall District knowledge and establishing customer loyalty.
+ Assists with the daily operations of the Sports Complex and fills in at the front desk as needed, providing excellent customer service, answering inquiries, and assisting with administrative tasks to ensure smooth facility operations. Greets all patrons, directs to offices when needed, handles incoming/outgoing packages, answers phones, and direct calls throughout the district.
+ Assists with rental requests throughout the Sports Complex including but not limited to reserving the space, collecting payments and invoicing outstanding balances.
+ Assists the Athletics Division Coordinators and Sports Dome Division with daily duties including communication with parents and coaches, setup needs for programs at the Sports Complex, equipment/jersey check out and in-person, phone-in and online registration processes.
+ Handles refund, registration transfer requests, recreation money and scholarships for all athletic programming.
+ Monitors application of POS and Teamsideline system for registration purposes. Evaluates and provides feedback for any enhancements to the process. Monitors external scheduling and registration sites and provides data and feedback.
+ Tracks status of all required staff certifications.
+ Recognizes emergency and dangerous situations by reacting quickly and calmly; administers first aid as needed. Completes Accident/Incident report.
+ Responds tactfully, respectfully and in a timely manner to inquiries and problems in person, through email, phone and mail by providing helpful information and explanations in-line with District policies and procedures. Thoughtfully handles confrontational or stressful interactions.
+ Maintains records including but not limited to weekly/monthly reports, facility usage reports, payroll documentation, cash receipts, credit card transactions, accurate invoicing and purchasing records, and incident/accident reports according to District procedures in a timely manner.
+ Develops and maintains professional relationships with District employees, vendors, maintenance service providers, and various outside user groups and associations to coordinate their programs, tournaments, league play, and special events.
+ Assists with the development, implementation, and tracking of marketing strategies to ensure utilization and notify the public of District events. Works with Communications staff to promote community awareness of programming and special events through press releases, news stories, fliers, and meetings with the general public. Evaluates customer satisfaction. Solicits sponsors and donations for programs and special events as assigned.
+ Provides a variety of general information to the public regarding parks and recreation operations and programs. Promotes a positive image to the public. Participates in community planning and organizational meetings.
+ Assists in supervising the facility’s operations. Resolves issues pertaining to changing staffing needs, equipment maintenance and repairs, and/or other urgent needs at assigned facilities. Fills in for the Sports Complex Manager in their absence.
+ Works cooperatively and maintains a high level of communication with various District divisions, such as facility maintenance, recreation programs, communications and registration to ensure successful operations and a positive customer experience.
+ Provides a high level of customer service and communication both internally and externally, including maintaining professional, timely and accurate communication through effective verbal and written methods. Also includes maintaining accurate print and online information.
+ Responds appropriately and quickly to facility related emergencies. May include contacting appropriate repair vendors, performing first aid as trained, completing incident and accident reports, follow-up meetings, communicating to impacted customers/work groups and following up accordingly to district and state procedures in a timely manner. Response may be required outside of normal office hours.
+ Assists with the preparation and monitoring of the front desk office budget, managing revenues and expenditures to be accountable to budget goals. Interprets and generates various financial reports. May prepare purchase orders, RFPs, journal transfers, profit/loss reports, fee increase proposals, and invoice requests. Collects and records payments/fees for programs and outstanding balances.
+ Enforces high operation and risk management standards through combination of staff training, adequate procedures, enforcement and regular review.
+ Collaboratively works with Customer Service Representatives and Supervisor of Duty on accurately and effectively booking facility rentals including responding/approving inquiries and ensuring adequate scheduling/communication for the front line staff, payment collection and an overall positive customer experience.
+ Assists with a variety of District and community-wide special events.
+ Attends and participates in professional group meetings; stays abreast of new trends and innovations in the field of recreational services.
+ Attends and participates in or leads staff meetings, trainings, orientations, and various other District committee meetings as assigned.
+ Attends work on a regular, reliable and punctual basis.
+ May be required to work evenings, weekends, and some holidays.
+ Assists with policy enforcement and development of procedure manuals; conducts periodic meetings to provide and gather information, answer questions and respond to complaints and concerns, both internally and externally.
+ Observes necessary precautions to assure general public safety; inspect facilities/grounds for safety and maintenance needs.
+ Ensures proper handling of cash, including reconciling cash drawers, completing cash reports on-time and maintains petty cash within accounting guidelines.

Education and/or Experience:
+ Associate's Degree in Recreation Management, Facility Management or other related field. Bachelor’s Degree preferred.
+ One (1) year experience in customer service.
+ Previous personnel leadership/supervision preferred.
+ Any combination of experience, training and education that demonstrates the required knowledge, skills and abilities to perform the essential functions of the position may be considered.
Licenses, Certifications, and Other Requirements:
+ CPR, First Aid and AED certificates, or the ability to obtain upon hire.
+ Mandatory Reporting certification, or the ability to obtain within 30 days.
+ Must possess a valid Colorado Driver License or the ability to obtain upon hire and maintain an acceptable driving record.
Necessary Knowledge, Skills and Abilities:
+ General knowledge of the philosophies, objectives, practices, and systems of customer service and general facility management and their application as related to recreation center operations.
+ Ability to establish strong leadership practices and philosophies and implement within the general practices of the District.
+ Ability to foster a cooperative and effective work environment within a diverse work atmosphere.
+ Ability to prioritize and organize the workload of self and supervised staff.
+ Basic math skills are required.
+ Strong data skills and excellent attention to detail with the ability to research, gather, organize and analyze information.
+ Ability to effectively manage and prioritize situations and goals to maximize available resources.
+ Excellent problem-solving skills to analyze complex problems and implement appropriate corrective actions.
+ Must have excellent communication skills, both written and oral.
+ Must be able to supervise, coach and evaluate numerous staff on customer service, safety, and District practices.
+ Working knowledge of Microsoft Office software including Excel, Word, Outlook and Publisher.
+ Must be highly motivated and take direction well.
+ Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness.
+ Excellent interpersonal skills with the ability to provide outstanding customer service, establish and maintain effective working relationships, and interact with others in a professional manner.
+ Ability to physically access recreation centers in all weather conditions.
+ Ability to work a varied schedule which may include some evenings, weekends, and holidays.
Material and Equipment Used:
+ Uses standard office equipment including a personal computer, phone, printer, and copier.
+ This position also regularly operates a hand held two-way radio
+ This position may be required to drive a personal and/or District motor vehicle to various District and off-site facilities.
Working Environment:
+ Primarily works in a busy recreation facility environment subject to continuous interruptions and background noises.
+ The employee is exposed to wet, cold and slippery conditions. May work in a cool environment at times; the temperature at the ice rinks will vary from 40-55 degrees Fahrenheit.
+ Occasionally works outside subject to variable weather, ecosystems and landscape.
Physical Requirements:
+ Stand, walk and sit for long periods of time.
+ Occasional physical work lifting and carrying up to 50 pounds.
+ Occasionally required to use hands and fingers to handle or feel objects, tools or controls; reach with hands and arms; and stoop, kneel, crouch or crawl.
+ Frequent hand/eye coordination to operate personal computer and office equipment.
+ Vision for reading, recording and interpreting information. Vision acuity to see close-up and at a distance with the ability to adjust focus allowing a broad field of vision.
+ Speech communication and hearing to maintain clear and effective communication. Must understand and be understood.
