In addition to base pay, you may be eligible for overtime, commission, performance-based increases, and bonuses. * REPORTS TO:* Controller *STATUS:* Non-Exempt * _PURPOSE AND SUMMARY STATEMENT_* Prairieland FS, Inc. is seeking a diligent and detail-oriented Accounting Administrative Assistant to join our finance team, specializing in accounts receivable. The ideal candidate will manage the day-to-day accounts receivable functions, ensuring timely and accurate processing of customer invoices, maintaining customer accounts, and supporting the accounting department with various administrative tasks. This role is essential in maintaining our operations' financial health and efficiency. * _ESSENTIAL JOB FUNCTIONS_* * Generate and send out customer invoices in a timely manner. * Monitor customer accounts for delayed payments and follow up with clients to ensure timely receipt of payments. * Process incoming payments through various channels (e.g., checks, electronic transfers, credit card payments). * Maintain accurate records of all accounts receivable transactions. * Reconcile accounts receivable ledgers to ensure all payments are accounted for and properly posted. * Respond to customer inquiries regarding invoices, payments, and account statements. * Resolve billing discrepancies and issues with customers promptly and professionally. * Collaborate with the sales team to address any issues related to customer accounts. * Prepare and present regular reports on accounts receivable status, including aging reports and cash flow forecasts. * Assist in the preparation of financial reports and statements. * Analyze and report on accounts receivable trends to identify improvement areas. * Provide general administrative support to the accounting department. * Maintain organized and up-to-date customer files and financial records. * Assist with month-end and year-end closing activities. * _OTHER JOB FUNCTIONS_* * Follows GROWMARK’s Code of Conduct and Corporate Compliance Program, Environmental Health and Safety, OSHA, and DOT policies and procedures as they apply. * Follows Environmental Health and Safety, OSHA, and DOT policies and procedures as they apply. * Comply with the uniform policy and uphold a professional appearance. * Perform all other duties as assigned. * _REQUIREMENTS_* * Education and Experience* * High school diploma or equivalent; associate degree or higher in accounting, finance, or a related field is preferred. * Proven experience in accounts receivable or a similar accounting role. * Proficiency in accounting software. * Proficiency in Microsoft Office Suite, particularly Excel. * Functional Competencies* * Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines. * Excellent verbal and written communication skills, with a professional demeanor. * High attention to detail and accuracy in all tasks. * Ability to work effectively as part of a team and collaborate with teammates at all levels. * Ability to identify and address issues in a proactive manner. * Strong customer service skills, with the ability to interact professionally with customers and teammates. * High level of integrity and ability to handle confidential information. * Core Competencies* Demonstrated core competencies, including business knowledge, collaboration, communication, customer focus, decision-making, and skill development. * Other Requirements* * Must have a valid driver’s license and satisfactory driving record. * Ability to work hours other than those considered normal at various times throughout the year to meet deadlines and demands. * Ability and willingness to participate in required training, including education on policies and procedures and additional training related to the position’s requirements. * The role may require occasional travel to other company locations or industry events, with the ability to travel independently and stay overnight as needed. * Ability and willingness to participate in required training, including education on GROWMARK’s policies and procedures and additional training related to the position’s requirements. * Physical Demands* * _Lifting/Carrying_** _Frequency_ _Pushing/Pulling_ _Frequency_* Under 10 lbs.
